As the business continues to grow, Newland Chase’s Immigration division is going from strength to strength. This position, offers the opportunity to join our well respected, award winning immigration practice.
The role encompasses a variety of tasks relating to the general running of a busy office including reception tasks, using a range of office software (including Microsoft Word, Excel, Access and Outlook) and internal databases as well as supporting Immigration Consultants with all their organisational and administrative needs.
- Answering phones in a polite and courteous manner; obtaining initial information from callers and passing on to Immigration Consultants as appropriate.
- Accurately capturing new business enquiries by phone.
- Recording post and couriers, both in and out, on relevant spreadsheets and taking mail to be sent out as required.
- Booking couriers and tracking deliveries.
- Managing electronic filing systems including scanning of immigration files.
- Booking and maintaining meeting rooms. Recording visitors in the online portal.
- Greeting callers, including visiting clients and couriers, in a friendly and professional manner to receive requested documents and information.
- Scanning all client documents and saving them into the relevant shared drive folder; always making Consultants aware of such documents / Scanning approval and supporting documents to Immigo.
- Initiating cases on Immigo.
- Adding government and management fees to Immigo to assist in creating invoices. Updating Immigo with any actions directly taken by the support as a case proceeds.
- Keeping Immigo up to date with all necessary information.
- Work as part of the wider support team providing support where necessary. Managing own time to ensure maximum efficiency whilst remaining flexible to changing priorities.
- Assisting with e-file opening. Communicating case progress while ensuring all assigned deadlines are met.
- Keeping up to date with all the latest immigration matters.
- Assist with RTW checks where required (additional training provided).
