The role of the CEO Office Administrator is to support the effective running of the Chief Executive’s Office. This will include administrative support (arranging meetings, taking minutes, managing visitors, processing expenses, booking travel and other confidential desk tasks), as well as providing direct cover and support for the Executive Assistant to the CEO during their nonworking hours and holidays.

**Main Duties and Responsibilities**:

- Provide support managing diaries with competing internal and external engagements.
- Greet visitors to the CEO’s office, including the support of VIP visits. Supporting the coordination of external visits to the office from a range of organisations.
- Responsible for processing and approving expenses for the CEO and Executive Committee.
- Lead the management of room bookings across the London Zoo site, including resource management.
- Maintenance of office supplies of key shared areas.
- Responsible for the travel bookings and arrangements for the CEO and wider Executive Committee team.
- Support the financial admin within the CEO’s office and the wider Executive Committee Team, including raising purchase orders and processing expenses.
- To support the planning and organisation of events, including sourcing and booking venues, arranging catering and any other administrative arrangements for meetings and events within specified budgets.

Essential Experience, Knowledge and Skills:

- Previous Personal Assistant experience

OR
- Proven experience managing competing diaries, both internal and external at an executive level
- Handling confidential and sensitive information
- Excellent interpersonal and communication skills face-to-face, by telephone, and in writing. Ability to respond to a wide range of internal and external stakeholders with a high level of customer care.
- Management of simultaneous tasks, whilst maintaining a professional and level-headed approach
- Ability to work at pace with a friendly and proactive attitude
- Good IT skills. Competent in the use of online video conference platforms such as Zoom and Microsoft Teams and MS Office, including Word, Excel, Outlook. The ability to produce presentations to a high standard and accurately maintain spreadsheets and CRM systems.

- Demonstrate an appetite and ability to learn and develop in the role
