JOB TITLE: MEDICAL RECEPTIONIST / CLINICAL ADMINISTRATOR

REPORTS TO: OPERATIONS MANAGER

HOURS: 30-35 hours per week

Job Summary:
To work as part of the administrative team under the guidance of the Operations Manager, providing comprehensive administrative support to the Practice.

To review and read code daily incoming patient correspondence in the Practice computer system, identify when to forward to the GP for appropriate action, to a high standard and in accordance with the Practice protocol.

Key responsibilities:
Clinical Administrator
- To sort incoming patient correspondence in preparation for review.
- Access all letters received electronically/via post and action as appropriate.
- To review all incoming patient correspondence and read code relevant clinical information on the Practice patient information system (SystmOne).
- Identify, refer and clinical action to the GP using specified guidelines.
- Liaise with internal/external departments or healthcare providers as required.
- Provide cover for other members of the Clinical workflow team across Coastal Medical Partnership for annual leave/sickness absence as required.

Medical Receptionist
- Greeting patients and visitors in an efficient and courteous manner
- Provide an effective and polite telephone service
- Proactively communicate information between relevant patients, doctors and professionals
- Prioritising task as necessary
- Work flexibly within the team

Confidentiality:

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder should recognise the importance of effective communication within the team and will strive to:

- Recognise peoples needs for alternative methods of communication and respond accordingly

Contribution to the Implementation of Services:
The post-holder will:

- Discuss with other members of the team how the policies, standards and guidelines will affect own work
- Participate in audit where appropriate
