**Summary**

The purpose of the **Executive Assistant** is to provide efficient, effective and proactive Executive PA support to the Managing Director, Operations Director and Commercial Director in Severn Trent Green Power; as well as to deliver bespoke projects for the Directors across STGP including corporate events.

The **Executive Assistant**is expected to be an ambassador of the company through championing the Severn Trent Green Power Values and culture.

**Responsibilities**

Core EA Responsibilities
- Fully effective diary management, proactively reviewing and updating diary commitments, recognising where conflicts might occur, taking action and prioritising as necessary in line with business demands
- Organise appointments, internal and external meetings, including board members and our supply chain
- Reviewing and submitting prepared papers before circulation to the STGP Board, CCSEC and STEC (Senior Executive team)
- Prepare papers in advance of meetings including preparation of briefings for meetings with external stakeholders and provision of personal profiles of attendees for the Directors
- Prepare and submit Directors expenses on a monthly basis
- Prepare and write job descriptions for key roles sought after by the Directors
- Proactive engagement with STGP senior management teams
- Support the Directors with highly confidential matters, maintaining complete discretion at all times
- When appropriate, managing events, taking ownership of the end-to-end organisation with full autonomy
- Operate a flexible approach around travel and whereabouts based on business priorities

**Decision-making**
- Make independent and proactive decisions with respect to Directors’ diaries, scheduling of priorities and key messaging with external and internal counterparts. Critically, this requires the role holder to be capable enough to have to refer to Directors before reaching such decisions
- Write and post relevant social media posts, both spontaneously and as requested by the Directors, on STGP’s Linkedin page and website

**Project and Budget Management**
- Deliver cross-STGP projects on behalf of the Directors, for example annual all-company roadshow events and annual all-company off-site
- Manage an annual budget of £250k to deliver small improvement projects within required timelines and to required quality

**Stakeholder Management**
- Develop exceptional relationships with both internal and external stakeholders that are critical to each of the Directors’ roles, thereby representing the “brand” of both STGP and the Directors
- Demonstrate comfort in saying “no” and in pushing back on standards of work which do not meet the required standards, and do this whilst maintaining strong and respectful relationships
- Through professionalism and high EQ skills, be a “go-to” person for colleagues across STGP when they require advice or support

**Coaching, Mentoring and Cross-departmental Support**
- Lead the organisation, preparation and action tracking of the weekly STGP Executive meeting
- Lead the organisation, preparation and action tracking of the monthly operations meeting
- Provide guidance and advice to regional operational leads and other members of the Senior Management Team, by intuitively understanding each of the Directors’ priorities, preferences and styles, so that they receive the steer and leadership they need
- Coach the three regional operational administrative support roles in terms of how to be effective at work, how to best prioritise, where to find specific company knowledge and how to build relationships with others across STGP

**Strategy, Insight & Analysis**
- Carry-out data collection and data analysis on key cross-STGP topics, e.g. gathering and interpreting team feedback; collating and overseeing compliance to e-learning stats
- Independently create budget and business case proposals underpinning the projects allocated to the role holder

**Technical Knowledge & Capabilities**
- Prior extensive and successful experience of being at EA to Board-level Directors
- Strong presentation writing skills and report writing skills, with ability to independently prepare reports that are submitted into Board and Executive meetings for decision-making
- Good understanding of the technical and operational processes underpinning renewable energy generation within wind, solar, hydro and anaerobic digestion
