My client, a highly successful top tier Real Estate Agency, are currently seeking an experience Lettings Coordinator, to join their vibrant office in Hampstead.
The role will be extremely busy and requires an individual who is efficient, able to work to tight deadlines and possess a strong analytical skillset with an excellent eye for detail.
**Key Responsibilities**:
- Sending paperwork to landlords and ensuring property's are compliant
- Creating/ updating property details on the system
- Staying up to date with the latest industry legislation and Anti Money Laundering procedures
- Keeping in contact with our centralised deal progression and property management teams to ensure we have all documents in place before a move in
- Preparing Market Appraisal packs and send out letters from your Head of Lettings
- Booking in market appraisals with Landlords and the Head of Lettings
- Organising photography, floorplans and EPC's and creating office marketing materials
- Use our external systems to send out marketing collateral to potential clients
- Arranging for re-evaluation by Head of Lettings of any re-let properties and preparing the necessary documents for remarketing
- Handling all incoming phone calls
- Providing feedback to Landlords, Tenants and Applicants following viewings
- Applicant and client care in line with company procedures
- Organise and carry out viewings when negotiator unavailable
- Preparing for office audits (internal and external)
- Liaising with Relocation Agents by sending the details of new properties
- Working closely with the Sales Coordinator/ Office Manager to ensure smooth running of the office including stationary ordering, H&S responsibilities and rotas.
- Managing incoming invoices and arranging for payment
- Preparing presentations on PowerPoint
- Monthly client billings sheets on excel
- Meeting preparations for both internal/ external appointments
**Skills and Experience**:
- 1+ years proven lettings admin experience
- Excellent communication skills - both written and verbal
- Ability to manage own work load, multitask and remain calm under pressure
- Able to work to strict deadlines, even during busy period
- Excellent organisational skills
- Excellent telephone manner
- Good working knowledge of Excel, Power Point, Word etc
- ARLA Qualified (desirable not essential)
**Salary**: £26,000 - £29,500 dependant on experience
**Working Hours**: Monday to Friday 9am - 6pm
