Quick overview of the role:

- The Executive Admin Assistant works in a support role with the Leadership Team & CEO. The Leadership Team consists of five business leaders, Head of Credit, Financial Controller, Sales & Marketing Director, IT & Infrastructure Director, and Operations Director/General Manager.
- The role acts in a support capacity and a full understanding of each department will be provided during the training process.

What will you actually be doing?
- Act as the point of contact between the executives and internal/external clients.
- Act as admin support to each department headed up by members of the Leadership Team.
- Monitor phones, manage incoming calls, take messages, and route correspondence.
- Packaging and posting of fuel cards.
- Managing DHL shipments and all postage.
- Handle requests and queries appropriately.
- Maintain diary, arrange meetings and appointments, and provide reminders in a timely manner.
- Monitor office supplies and ensure competitive pricing on materials.
- Produce reports, presentations and briefs when required.
- Develop and carry out an efficient documentation and filing system
- Facilitate internal communication amongst the team (e.g., distribute information on key meetings and schedule presentations).
- Excellent organizational skills with an ability to think proactively and prioritize work.
- The ability to work under extreme pressure and deadlines.
- Understanding of project management

What hours will I work?
- Hours of employment: 42.5 hours per week (5 days per week)
- The hours of work are Monday to Friday 08.30am - 5.00pm.
- Experience - At least 2 years demonstrable experience in an Admin support role or a similar position.
- Highly developed interpersonal and oral communication skills with evident good telephone technique and networking skills.
- The ability to work as part of team as well on own initiative, showing accountability for your actions.
- Excellent Problem Solver skills
- Demonstrable commitment to confidentiality and customer care.
- Excellent IT Skills with proven experience in Microsoft Package.
- Excellent administration skills.
- Confident, enthusiastic, professional, and pro-active approach.
