Planning Co-ordinator

Be part of Engineering team and support the planning manager in the planning and day to day delivery of new installations and larger projects. The role is office based and will require good communications skills both internally and with customers, full ownership of the role would need to be taken including correctly keeping and entering data on our internal systems to provide full audit traceability of all actions.
**Role accountabilities**:
Working in conjunction with the Planning Manager to achieve the following:
- Scheduling all installations/maintenance works into diary by allocating engineers to meet the needs of each order.
- Daily adjustment of diaries by keeping on top of daily activities.
- Plan cabinet / prebuild works plus any pre-programming in accordance with any booked installation.
- Liaise directly on a daily basis with engineers to ensure planning is correct and up to date and engineers have the support to carry out their work efficiently and on time.
- Liaise directly with Stock team to ensure booked work can be completed as planned and all stock is available ready for prebuild, preprograming and ready for engineer collection.
- Liaise with Stock team to ensure that any stock is despatched to remote engineers where needed in a timely manner.
- Liaise with all other engineering team areas to ensure schedules are being achieved and plan any issues to ensure high level customer service.
- Assist with day-to-day Call outs when necessary.
- Regular update reports to the planning manager regarding progress and any issues where needed to enable swift resolution.
- Keep customers updated on timescale and any site related or delivery issues at all times.
- Keep records of any additional stock needed / extra works and ensure that systems are kept up to date.
- Keep records of any site related activities which delay progress.
- Enter data using our CRM and Winsims systems including overseeing correct use of our REACH system used by the installation engineers.
- Planning training and commissioning visits for new installations where required.
- To ensure all accommodation is booked for engineers when required for overnight stays.
- Answer incoming calls and where necessary, re-divert to appropriate department. This includes covering other lunchbreaks.
- Observe all safety rules and procedures, ensuring that the work area, equipment, and materials are left in a safe state; and that reasonable care is taken for the health and safety of all fellow employees and any other persons within the work area.
- Work in a manner that actively seeks to reduce any negative environmental impact in
- relation to the processes and procedures operating within their area and across the wider business e.g., reduction of waste, recycling etc.
- Carry out and comply with all company policies, procedures and instructions and any other reasonable duties deemed necessary by the company.
**Essential Requirements**:
- Must have good geographical knowledge.
- Previous experience scheduling / planning a team of engineers.
- Highly organised and an excellent communicator.
- Able to work in a highly pressured environment.
- Able to oversee multiple tasks within varying timescales.
- Effective team player.
- Excellent customer service skills.
- Fully IT literate, including MS Office.
- Problem solving and decision making skills.
Salary £25,000 pa, this is being offered as a full time position - 8am to 5pm - Monday to Friday.
