We are recruiting for **Cirencester Friendly Society**
As a **Distribution Administrator Apprentice**, you will play a key role in supporting the Distribution team, providing assistance to Adviser Services, Marketing, and Sales. This role offers an excellent opportunity to gain insight into how a Distribution team operates and develop foundational skills in Financial Services.
- **50% of your time** will be spent supporting **Adviser Services**, where you’ll engage with advisers on the phone, handling enquiries and providing necessary support.
- **25% of your time** will be dedicated to supporting **Marketing**, helping with literature stock control and general marketing administrative tasks.
- **25% of your time** will involve supporting **Sales** with strategic partner event bookings, managing the Distribution events calendar, organising meetings, and arranging travel and accommodation for awards and events.

Your responsibilities will include:
**1. Administrative Support**
- Assist in preparing and maintaining documentation such as reports, presentations, and spreadsheets.
- Manage and update databases, ensuring data accuracy and confidentiality.
- Perform data entry tasks with attention to detail and accuracy.
- Prepare and distribute internal communications such as memos and newsletters.
**2. Document Management**
- Create, edit, and format documents using Microsoft Word.
- Assist in drafting and proofreading documents to meet company standards.
- Archive documents and records according to company policies and regulatory requirements.
**3. Scheduling and Coordination**
- Coordinate and schedule appointments and meetings.
- Prepare agendas, take meeting minutes, and distribute them to relevant stakeholders.
- Organise travel arrangements, including booking accommodation and transportation.
**4. Customer Service**
- Engage customers through various methods, including call handling, with training and ongoing mentoring provided to build confidence and competence.
**5. Office Management**
- Monitor and maintain office supplies, ensuring adequate stock levels and placing orders as necessary.
- Coordinate meeting rooms and arrange appointments, including booking venues and refreshments.
- Assist with the planning and execution of events, meetings, and training sessions within the Distribution team.
**General Duties**:
- Participate in training and development opportunities to enhance your skills and knowledge.
- Adhere to company policies and procedures, maintaining professionalism and confidentiality at all times.
- Perform any other reasonable duties required to support the business.

**Skills Required**:
- Strong organisational skills with the ability to multitask and prioritise effectively.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
- Keen attention to detail and problem-solving abilities.
- A positive attitude and willingness to learn.
- Excellent telephone manner and the ability to handle customer queries with professionalism.
