Tailor made are excited to be exclusively working with a growing, forward thinking and reputable engineering company in Heywood. They are seeking a proactive Operations & Projects Administrator to support the Operations Manager. You will be adaptable, conscientious, hardworking and motivated and must be confident, keen to learn with strong attention to detail as well as having excellent inter-personal skills with a hands "roll your sleeves up" mind set. You will provide vital administrativesupport to increasingly busy Operations and Projects departments within a growing business. **The Role**: - Provide admin support to the Operations Manager and the Projects team - Updating the projects database - Matching invoices - SAFE contractor administration - Maintaining Health and Safety records - Tracking mileage - Ensuring factory facilities are maintained - Word processing audit reports & Digital filing of workshop service records & audit forms - Allocating hours to projects - Administrating Risk Assessments - Ensuring test certification is updated - Company vehicles administration (MOTs, services, booking out & Accidents) - Updating the training matrix - Ensuring GDPR compliance - Updating and maintaining the website and social medial platforms - Organising, taking minutes and chasing actions at the monthly Operations meetings - Providing absence cover for office staff - Answer, screen, and transfer phone calls - Provide administrative assistance to all departments as reasonably required & holiday cover - Book hotels, hire vehicles and airport transfers - Ensure forms/documents are all standardised to ISO9001 standard - Newsletter, staff communication & general inter-company liaison, Arrange meetings and company events - Ensure new projects are created and setup on the system - Raise PO’s and track deliveries as required - Update site contacts list for each site - Keep training matrix for all staff up to date - Monitor expiry dates and book training as required - Ensure calibration equipment is in date for electrical test equipment - Arrange with third parties and document the statutory inspection for plant and equipment in the workshop, such as, Ladders Inspection, Crane / Lifting Equipment, Compressor, Fire Alarm, Burglar Alarm, Boiler / Heater Services - Prepare Health and Safety documents templates when new jobs are created - Ensure all contractors have current insurance and annual declaration are current - Monitor PPE usage records - spreadsheet of purchased items and date **About You**: - Have experience within a simar role - Self-motivated with the ability to work on their own initiative - Excellent planning organizational and time management skills - Professional approach coupled with strong interpersonal skills. - Excellent verbal, written communication - Ability to work co-operatively with others to complete tasks and implement process improvements - Understanding of H&S legal compliance Preferred but not essential - training can be provided - Driving License - preferred but not essential **By submitting your CV to Tailor Made Sourcing Ltd you are consenting to Tailor Made Sourcing Ltd providing you with recruitment services as an agency defined under the Employment Agencies Act 1973 and authorising Tailor Made Sourcing Ltd to workseek on your behalf.
