Access to Information Officer

The Access to Information team is a part of the Information Governance service within Nottinghamshire Healthcare NHS Foundation Trust. The main function of the team is to provide copies of records to applicants including but not limited to, service users (and their representatives), the police, Courts and other health and social care providers.
The role is fast-paced requiring excellent organisational skills and ability to work to deadlines to ensure adherence to legislation. This role is suited to an individual capable of working well under pressure, with proven experience of multi-tasking, to provide an efficient service at a consistently high standard.
- Retrieve information from paper and clinical databases
- Identify, and redact information which will require reading medical information, including information relating to the mental health of patients, with the potential to be distressing to the reader.
- Use software such as Microsoft Outlook, Microsoft Word, and Adobe Pro.
- Create and maintain excellent records for the department to enable data collection and ongoing audit
- Work to strict deadlines as set out in legislation, policies, and local procedures
- Assist in the administration of various electronic patient records across the Trust including identifying errors, processing requests for removal and amendment of incorrect data.
- Provide a support service to colleagues within the team, eg completing quality checks and to help ensure compliance with Key Performance Indicators (KPIs).

The role involves the use of Microsoft packages, in particular: Outlook, Teams, and Word; redaction to documents is applied using Adobe software.
Since the COVID-19 pandemic, the team has spent the majority of its time working from home with only occasional office-based work and as such, going forwards, home working is still likely to play a large role within the Access to Information team. As a result of increased home-working, almost all the communication within the team is currently undertaken virtually, or via telephone. In the future, you will be required to travel to Duncan MacMillan House to handle paper based medical records and opening any mail that may be received; there may also be a need to travel to other Trust sites as and when required.
It is essential that you create and maintain excellent records for the department to ensure cohesive team working, enable regular data collection, and to help facilitate auditing. You will be required to work to legal deadlines as set out by national legislation as well as our Trust policies and procedures. You will be expected to work both individually on a caseload and as part of a team to help meet the demands of the department and achieve targets.
The role would require you to work within a fast-paced, but supportive, environment. Time-sensitive requests are regularly received, and team members may be required to support each-other with urgent requests.
