We are looking for an experienced Administrative Officer to join the Industry Partnerships and Chemical Biology teams.

The Industry Partnerships team is responsible for overall development, planning and industrial partnership activities within EMBL-EBI. This includes development of research-related activities with industry, as well as delivery of EMBL-EBI’s Industry Programme. The Industry Programme provides regular contact and interaction with key stakeholders and opinion leaders at major global commercial companies and informing them of the institute’s future directions. It provides support through a planned programme of knowledge-exchange workshops, working meetings and projects aimed at exchange of expertise and information on state-of-the-art developments in computational biology.

The Chemical Biology team manages the ChEMBL database of quantitative small-molecule bioactivity data used in drug discovery, SureChEMBL, for patent information, UniChem, a convenient way to cross-reference multiple databases using chemical structure, and ChEBI, a database of small molecules relevant to biology.
**Your role**
Working with the Head of Chemical Biology/Industry Partnerships and other team members, you will help coordinate and deliver the Industry Programme. You will:

- Plan, organise and ensure the successful delivery of the Industry Programme quarterly meetings and other industrial strategy meetings as required from time to time.
- Provide scientific support to Industry Programme workshops, taking notes at organiser meetings and preparing workshop materials (summary reports).
- Drafting and updating Industry Partnerships documents and slide decks.
- Provide event management functions such as registration, logistics and management of third-party service suppliers as well as taking minutes and management and updating of web-site content and industry contact mailing lists.
- Plan, coordinate and minute as necessary meetings and events (face to face, teleconferences and webinars) organised through EMBL-EBI Industry Programme involving employees of EMBL, EMBLEM, the industry programme members and external collaborators.
- Ensure effective liaison with and timely communication of relevant information to key contacts at the industry programme member companies.
- Provide administrative support to the Head of the Industry Partnerships including managing diaries, organising meetings, travel management and support for projects.
- Organise the teams’ travel arrangements, including booking of flights, accommodation, taxis and reimbursement of costs.
- Liaison with other administrative functions within EMBL and EMBLEM including in relation to annual contracts, invoices and CDA's, and other functions as may be specified from time to time.
- Provide administrative support for the Chemical Biology team: schedule team meetings, take minutes for the ChEMBL team, raise purchase orders for items, and other administrative tasks.
The role does not require any international travel or working outside of the Cambridge area. However, the successful applicant will be expected to not take annual leave during the quarterly meetings (one in March, June, September, and December each year) and may be required to work flexibly (e.g.: evenings) on the first day of each quarterly meeting.

A key element of the position will be the ability to deal with numerous activities while maintaining the positive relationships between EMBL-EBI and the industry programme members when dealing with enquiries and organising events.

- Educated to degree level or equivalent
- Experienced administrator
- Excellent organisation skills and strong attention to detail
- A high level of literacy, excellent written and verbal communication skills and fluency in English
- Ability to work independently to tight or shifting deadlines, and use initiative
- Exceptional communication skills to keep the manage relationships with internal and external stakeholders
- Ability to work as part of a team and with a broad range of staff members
- Ability to manage conflicting priorities
**You might also have**
- A science-based education or interest in science would be an advantage
- Some experience as a PA and event management experience
- Experience in working in an international organisation or an organisation dealing with international clients
- Good working knowledge of Google Suite (Google Docs, Google Sheets, Google Calendar, etc.)
