**Who We Are**:
Fraser Grant is a specialist lettings agent with a history of over 40 years based in Newcastle upon Tyne. We are a small, family-based, independent agent, located in the heart of Jesmond who primarily manage student houses alongside a smaller number of professional and commercial properties.
We are looking to employ a Administrative Assistant to join our small team permanently. Please note, this is an office-based role.
Our business model will offer you more responsibility and variety than the average position. This will allow you to become involved in all aspects of the role, meaning every day is different.
We are not target focussed, but our aim is to deliver the best results for our landlords and tenants. We do this by working as a team, allowing our staff to take ownership of their workload without the need for micro-management, ultimately fostering a less pressurised work environment.
While we understand a small team does not suit everyone, we want to continue to ensure everyone feels valued, and not overwhelmed, thanks to this cooperative approach.

**The Role**:
Our workload is seasonal, and we are busiest between June-early September during the tenancy changeover period and mid-October-December for the new lettings period. We manage a variety of properties, and our aim is to provide a professional, approachable, and expertise-led service for both our landlords and tenants.
Day-to-Day Responsibilities will include, but not limited to:
- Assisting with the organisation of maintenance for the properties in a timely manner, liaising with tenants through our online reporting system, organising contractors and providing progress updates to both tenants and landlords.
- Updating property records including rent receipts and processing landlord payments.
- Property due diligence ensuring all properties are compliant with their legal obligations which include property licensing, safety inspections, EPCs etc.
- Protecting and returning deposits, drafting return reports, and dealing with disputes if necessary.
We share these duties but aim to provide a feel for the workload that you will be undertaking.
Ongoing support will be offered in post, but this role will suit someone with industry experience to allow them to fulfil the job requirements efficiently.
**About You**:
- Ability to provide an excellent customer experience.
- Confident communication skills.
- Pro-active attitude and the ability to work independently.
- Strong attention to detail.
- Must be competent in IT with excellent computer skills.
- Full, clean, UK Drivers Licence with access to your own car.
**Work Patterns**:
- The office is open Monday-Friday, 9am-5:30pm.
- 1 Saturday in 3, between mid-June to mid-September - 10am - 1pm.
- Annual leave during the summer months must be coordinated with the busy spells, other staff members, and cannot be offered for extended periods of time (i.e. more than 1 week at a time). This is also applicable between mid-October to mid-November.

Pay: From £12.50 per hour
Expected hours: 35 - 42.5 per week
