**Position**:People Team (HR) Office Administrator
**Reporting To**:Head of People Team (HR)
**Tasks and responsibilities**:
- Provide comprehensive administrative support to the HR department, including the management of recruitment administration and the maintenance of up-to-date worksheets.
- Assist in the preparation of employment contracts under the guidance of the head of People.
- Contribute to the development of training content for platforms such as ACADAMI.
- Manage the ACADMI platform, ensuring its smooth operation and addressing any software-related issues.
- Supervise administrative tasks for the People Team (HR), encompassing general HR activities and initiatives.
- Extend administrative assistance to various departments, handling tasks such as overtime and call-out filings, as well as EMS reports.
- Execute diverse administrative functions, including document typing, binding, scanning, filing, and record maintenance.
- Uphold a professional and approachable demeanour when interacting with staff, clients, and tenants.
- Adhere to ISO9002 and ISO9001 standards and the Company’s Quality Management System.
- Aid in onboarding and offboarding processes, generating user arrival and departure forms as needed.
- Manage reports, such as vetting checks, and ensure new hires comply with necessary documentation.
- Analyse company data and produce reports as required (ISO request).
- Provide support for payroll processes under the direction of the head of HR.
- Assist interns with their HR testimonials.
- Establish new staff records and use Intelefile to accurately maintain HR records.
- Monitor and address daily HR inquiries, escalating complex queries as necessary.
- Contribute to various company events, including client visits and internal functions.
- Issue policies and ensure compliance with all new hires.
- Assist in creating HR content for the HR SharePoint portal, including newsletters and long-service lists.
- Generate staff purchase requests for Chairman credit card purchases as needed.
**IT proficiency for**:
- Organize probationary review meetings and Balance scorecard reviews meetings between managers and members of staff.
- Utilise the Outlook diary to determine if people are in the office or not or in meetings, etc.
**Reception/Front of House**
- Maintain an efficient and professional reception environment at all times
- Meet and greet all visitors and clients in a courteous and professional manner, ensuring they sign visitors book on arrival and departure and enter car registration if appropriate.
- Meet and greet all visitors and clients.
- All individuals working at Transputec House, if they do not use access card to scan in, are to sign the visitors book on arrival and departure.
- Catering for boardroom visitors/providing refreshments as required
- Direct any deliveries that enter the building, i.e., couriers etc. for company and tenants.
- That the framed certificates etc. are aligned correctly on walls
- That the plants have been watered in the reception area
**Mail**
Ensure that the post franking is completed by 5.00pm and is ready for collection by Royal Mail at 5.30 each day.
**Dress code**
Must dress smartly at all times including appropriate professional shoes. Hair well-groomed always.
