The position is responsible for ensuring a good quality service meeting the British Council’s criteria is provided to our students and any other duties deemed necessary by the Centre Manager. To enhance the reputation of the school and the student/agent experience though the effective management of administration services.
**Duties and Responsibilities**
- Point of contact for students and host families
- Be responsible for the organisation of accommodation for group students, group leaders and individual students with host families or alternative accommodation.
- To ensure that accommodation meets students’ needs as closely as possible and as requested
- Sending confirmations to accommodation providers and clients and advising them of arrival times.
- Ensuring the transfer list for student arrivals is updated and sent to our transport providers.
- Maintaining up-to-date records of all host families on the database (CLASS).
- Monitoring and responding to student feedback.
- Helping the Homestay visitor advertising for and recruiting new host families, visiting them and providing them with the information necessary to host students safely and effectively in accordance with Accreditation UK/ISI guidance on Best Practice and Castle School policy. Ensuring that all families sign to say they have read this information.
- Ensuring all paperwork relating to the above is collected in a timely manner and kept on accessible files.
- Making sure that host families are revisited at least once every two years and good relations are maintained.
- Finding new types and sources of accommodation.
- To organise transfer of students to new accommodation when changing accommodation provider.
- To report any issues of concern to the Centre Manager
- Keeping records of complaints, subsequent action and resolution.
- Checking host family payments when appropriate and dealing with any queries concerning host family accounts.
- Checking the invoices are correct for Hotel/Residences.
- Have the emergency phone on a rota basis
- **Administrative Duties**
1. Assisting the Administration Officer and Groups Officer when needed.
2. Cover front desk when and if needed.
**Attainments/ Competencies**
Excellent time management and self discipline
Ability to speak clearly and coherently in English
Basic understanding of Microsoft Word, Excel and Google Docs
Ability to relay clear concise factual information
Ability to complete necessary paperwork to company standards
Accuracy and attention to detail
Ability to work in a calm manner under pressure
**Job Types**: Full-time, Permanent
**Salary**: £21,000.00-£23,000.00 per year
