**Booking Coordinator** **Kelly Services are delighted to be supporting this unique and busy, growing, live captioning provider who support a wide audience from deaf and hard of hearing to corporate conferences.** **They are looking for someone who is detail conscious, organised and methodical, quick learning, friendly and enjoys working under pressure to join our virtual team based in the UK, France and Ireland.** - **The position permanent-35 hours a week with a requirement to work 1 weekend in every 5.**: - **Pay-£30,000** **Basic requirements**: - High standard of written English (spelling and grammar). - Lots of evidence of multi-tasking, working accurately, diligently and paying attention to detail. - Lots of evidence of working remotely and managing a busy 9-to-5 workload from a home office. - Excellent internet connection preferably by ethernet. - Working knowledge of video conferencing platforms such as Zoom, WebEx. **Responsibilities**: - Making sure the client understands exactly what services they have contracted, what they will cost, how they will be delivered, and that changes will incur additional cost. - Creating a technical delivery plan with clear instructions to ensure that the client, technician and captioner as well as any other service providers understand their role and responsibilities and what is required of them for the booking. - Quoting for bookings and sticking to a budget making sure that a minimum 30% profit is achieved on every event after all costs including administration costs. - Working closely with your colleague who is responsible for booking captioners and other service providers to ensure that you have appropriately skilled and qualified captioners delivering the captions for each of your events. It's your responsibility tomake sure the captioners are booked a minimum of eight days before the booking takes place. - Creating clear and easy to manage captioner schedules for each job-they need to be simple for everyone to follow and understand. Just as importantly they must be easy for you to administer and monitor as you will be monitoring numerous bookings throughoutany given day. - Coordinating multiple bookings at once. - Managing provisional bookings to ensure they are confirmed or cancelled at least eight days before the booking is due to take place. - Maintaining ongoing communication with the client about their booking to make sure you are aware of any changes and there are no last-minute surprises. - Adjusting the technical delivery plan and captioner schedule to accommodate changes and making sure everyone is updated. - Adjusting and issuing revised quotes when the requirements for a booking change. This could be and not limited to a change in start and finish time, a change in the set-up time, an additional stream of captions or an additional breakout session. - Serving as the main "captioning" point of contact keeping everyone informed and regularly updated on the lead up to the booking. - Developing professional, friendly, and lasting relationships with clients, captioners and other service providers. - Working closely with clients to make them aware of additional services that could be useful to them such as draft transcripts. - Working closely with your colleagues to deliver your bookings and support others in delivering theirs. - Working closely with your finance colleagues to ensure timely payment of invoices. - Acting positively on feedback from your managers, colleagues, clients and captioners maintaining two-way communication channels. - Day-to-day administrative work such as: - working on a bespoke system that captures client information and provides captioners with information about their job. - maintaining clear and concise notes on the system for every booking you are dealing with. - closing your bookings within three days of them finishing ensuring that you have received the PO, and the PO and invoice contact details, created a client invoice, and created a captioner receipt of work.
