Marshall Fleet Solutions are recruiting for a forward thinking and professional PA to support the Managing Director and wider Executive Team.

This is an excellent opportunity for a PA to immerse themselves in a successful and interesting working environment. The role will be based at our flagship depot in Tamworth but there will be the requirement to travel to Cambridge as required.

You will be required to work closely with the Senior Executives to deal with secretarial and administrative tasks from managing a diary, booking meetings to co-ordinating schedules. Essentially, you will have responsibility for the organisation of their busy working lives so that they will always know where they need to be and what they're doing.

You will need to accrue extensive knowledge of the business to understand who key personnel are and to understand the business' aims and objectives.

This would suit a proactive, resourceful and dedicated PA that can deal with conflicting priorities and an ever-changing diary with ease. The ability to act with the highest level of discretion and confidentiality is also essential.

- Extensive diary management and managing schedules for a very busy Managing Director and the Executive Board.
- Acting as the first point of contact with people from both inside and outside the business.
- Arranging meetings (internal and external) and ensuring the owners are well prepared for meetings.
- Meeting and greeting visitors at all levels of seniority.
- Experience in handling confidential information and understanding the importance of dealing with this on all levels.
- Booking travel arrangements and managing the logistics to create itineraries.
- Maintaining accurate monthly expenses and mileage records and submitting in a timely manner for Managing Director.
- Screening phone calls, enquiries and requests, and handling them when appropriate.
- Managing, organising, setting up meeting room bookings.
- Minute and action taking with follow up governance.
- Acting as liaison between all functions to facilitate effective communication.
- Managing day to day office requirements including liaising with cleaners, caretakers and other contractors as needed and maintaining close communication with the depot manager and team on site.
- Creating PowerPoint presentations as required.
- Maintaining appropriate office systems, including data management and filing where needed.

**Qualifications**:

- You are likely to have solid previous experience of working as a PA within a professional environment, supporting at C-Suite.
- Demonstrable proficiency in Microsoft Office suite, especially Word, Excel and Outlook.
- Strong interpersonal and communication skills (both written and oral) and the ability to work effectively with stakeholders at all levels.
- Excellent organisational and planning skills and establishing priorities.
- Problem analysis and problem-solving skills using own initiative.
- Ability to provide accurate and efficient service under time pressure.
- Understanding of the importance of confidentiality and data protection legislation.
- Attention to detail, and a service-oriented attitude.
- Adaptability, flexibility and continuous enthusiasm.
- Ability to work with a degree of self-direction and flexibility, especially with respect to taking initiative, prioritising multiple tasks, and using good judgment to resolve problems.
- Extremely reliable and dependable.
