**Leadership Support Team - Personal Assistant**

**Context**
The senior leadership (CEO, Chiefs, Directors) roles at CAP encompass a wide range
of work; from handling the day to day running of their departments, through to
charity wide decision making and international involvement. The Personal Assistant
(PA) role exists to support the senior leadership in all that they are tasked with
achieving within their roles.

The PA sits in the Leadership Support team and serves a designated senior
leader(s), undertaking a range of roles and responsibilities across individual
departments and between teams. These will largely be similar responsibilities
across all PA’s however there may be specific tasks unique to the senior leader(s)
they work for. It can be a very varied role with the PA needing the ability to self
motivate, organise well and always pay attention to the details.

**Purpose**
The PA provides high level administrative support to ensure the smooth functioning
of the offices of their senior leader(s). They undertake a variety of tasks to deliver
the ongoing running of their day to day. They also handle irregular and exceptional
tasks or projects that will arise.

variety of ways, empowering them to focus their time and energy on the areas
where they can have the most impact.

**Role**:
**Accountabilities**:

- Due to the flexible nature of the role these accountabilities are inclusive of

but not limited to supporting the director in the following way:

- Organising calendars and schedules
- Managing internal and external communications
- Facilitating travel arrangements
- Providing administrative support such as note taking and meeting
- minutes- Supporting on department projects as and when needed
- Hosting guests as they visit the Mill
- Administration of expenses
- Preparing papers for Core Team, Board and International Meetings

Job Profile: Leadership Support
- Various monthly recurring responsibilities specific to the director they

support
- Working to either personally resolve or draw the correct people into

situations that arise during times when the director is unavailable
- To assist the Director in meeting all deadlines. This will include advance

planning and using initiative to make sure all areas are well considered and
prepared.
- Prepare agendas and ensure appropriate resources exist for all meetings,

ensuring all papers and materials are prepared in advance with the right
people involved.
- Any other tasks or projects required by the Directors

**Measurable Outputs**:

- Directors' diaries are prepared and accurate on a daily basis.
- External communication responded to within 24 hours.
- Internal communication responded to within 48 hours.
- Travel planning complete 24 hours before a trip is due to commence
- Papers for meetings circulated a week before each meeting, where possible
- Successful delivery of projects when designated as project manager.

**Other Responsibilities Include**:

- Encouraging friends, family and other contacts to support the charity through

the Life Changer program, and other fundraising initiatives.
- Attendance at annual CAP staff conferences.
- Completing all compulsory CAP training within given timescales.
- This role falls within the scope of the FCA’s conduct rules, and you will be

responsibility to ensure that you follow these conduct rules.

- GCSE Maths and English C Grade or above (or equivalent)

**Experience**:

- Experience of having to work using your own initiative

- Experience minuting meetings
- Experience of delivering good communication through a variety of methods
- Experience or knowledge of Google Suite would be helpful
