We are currently seeking to recruit for a Business Support Administrator to join us here at Aqua Consultants where you will report to our Office Manager

**Main responsibilities**:

- To provide secretarial support to the wider Exec and Senior Leadership Team as requested from time to time
- Generate material such as powerpoint presentations on behalf of the Executive Team and/ or SLT for key meetings, as directed

**Key delegations/ approval authorisations**:
Financial - None associated with this role

Operational - None associated with this role

**Reporting**:
All day to day duties will be reported to the line manager

**Key interfaces**:

- Board Directors and Service Line Directors on duties assigned
- Aqua Consultants Employees and sub-consultants for administrative support
- Suppliers for the purposes of compliance activities and/ or general business support duties
- HR coordinator for support around training and personnel record updates
- Personal Assistants/ Executive Assistants from clients, partners and suppliers to support diary management of Aqua Consultants Exec and SLT teams

**Responsibilities**:
General Business Support
- To provide full administrative support to the business, responsible for the execution of tasks assigned
- Responsible for the general office management and ensuring office tidiness, ensuring all hospitality and housekeeping requirements are met
- Responding to the office landline and ensuring all voice messages are actioned in a timely manner
- Liaising with the landlord/ letting agent on facilities related matters for Head Office and other offices owned or rented by Aqua Consultants
- Carry out drafting duties such as letters, staff/sub-consultant CV and other documentation
- To ensure all confidential information is handled correctly and with utmost discretion and operate in accordance with GDPR
- Operate as key point of contact for miscellaneous questions, responsible for taking and tracking actions to rectify
- To undertake other tasks that aren’t strictly defined within this terms of reference however will be of similar nature that fall within your capabilities as directed by management

Additional duties (Externally focussed)
- To provide secretarial support to the wider Exec and Senior Leadership Team as requested from time to time
- Be responsible for the Exec & SLT internal diary management for sessions such as weekly SLT, MLO and Business Unit Review cycles
- To provide compliance support to the Business Support Manager for Achilles and ISO certification
- Support with the company third party accreditations and ensure that they are obtained and maintained.
- Generate material such as powerpoint presentations on behalf of the Executive Team and/ or SLT for key meetings, as directed
- Build up a rapport with client and supplier Personal and Exec Assistants
