Sussex Partnership AHP Practice Education team are looking to appoint a Band 4 Practice Education Administrator to deliver administration support to Allied Health Practice Education placements and the future workforce of the Trust.

The post holder will fulfil a key administration role, ensuring the delivery of effective AHP Practice Education to the highest quality and standards in-line with the requirements of the Trust, Health & Care Professions Council (HCPC) and Health Education England (HEE). The post holder will be the primary contact for our AHP Practice Educators and students and will also deal with communication from Higher Education Institutes, which require responding to in a timely and efficient manner. The post holder will prioritise the work of the team according to the demands of the service, ensuring that the service is effectively audited and monitored.

The post holder is expected to build sustainable relationships with AHP Leads and internal/external stakeholders to establish a smooth workflow in delivering education initiatives with compassion and excellence at all times. This role includes the development and maintenance of recording systems to ensure accurate and timely reporting of data on Practice Education activity, finance, assurance via audit of placement evaluations and feedback to ensure quality, effectiveness and efficiency of the AHP Practice Education team.

The post holder will deliver administrative and ad hoc support to the AHP Education and Training department.

To coordinate clinical placements and experiences for Allied Health Professional students (Occupational Therapy, Physiotherapy, Speech and Language Therapy, Dietetics and any additional AHP group, as required) and the opportunity to gain the skills necessary to become registered professionals upon completion of their programme.

To promote and facilitate effective communication between clinical placement teams, the Practice Education Department and higher education institutions (HEIs) ensuring the placement processes and systems run smoothly and efficiently, and are a positive experience for learners and placement teams.

To improve and maintain the placement administration function and workflow within the team. To consistently deliver a client focussed service, which promotes good client service and effective working relationships.

To support the expansion and optimisation of clinical placement capacity at SPFT, implementing change through a placement development programme.

The post holder will work directly with the AHP Education Lead and will report to the AHP Project Manager.

The role will involve home working, however there are occasions where travel to Trust sites will be required, and there is allocated desk space in a Trust building in Worthing.

Liaise with key internal stakeholders including clinical leads, service managers, placement team leads in the coordination of clinical placements, apprentice agreements and the maintenance of agreed student capacity to ensure the trust are meeting the required standards to achieve tariff and apprenticeship agreements.

Develop a close working relationship with multiple HEI teams to effectively plan and coordinate student and trainee allocations to clinical placements.

Be a resource of information in relation to clinical placement coordination and capacity, including managing and auditing the placement management database and required reporting to various stakeholders.

Promote and facilitate effective communication between the clinical areas, the AHP Practice Education Team, SPFT Clinical and Professional Leads, FE and HEIs partners.

Work with department colleagues, internal and external stakeholders to initiate and implement change and improvement in placement administrative practices, as part of a wider placement development programme.

Support the Practice Education Facilitators to expand placement capacity across the organisation, and to report data to local education providers and Health Education England where required.

Support the Practice Education Facilitators in the promotion, and monitoring of Practice Educator competencies and training.

Work independently, prioritising and organising own workload taking into consideration the competing demands of the team and ensuring that placement coordination and administration is carried out to a high standard within agreed timescales.

Escalate student and trainee placement concerns to the Practice Education Facilitators, as required.

Ensure that learner confidentiality is maintained at all times in conjunction with organisational policy.
