Planned Works Coordinator

**So what’s the role all about?**
As a planned works coordinator you will provide administrative support to the Planned Works team ensuring PA deliver excellent services to residents. This role will assist the team in liaising and supporting our customers, alongside our service providers for all planned and major works carried out through our Asset team in and around our customers’ homes.
This role can offer hybrid working, meaning you will be required to be in the office for around 2/3 days a week with the rest being from home, however we may need you to be in the office more within your probation, whilst you get up to speed.
**Some of the key tasks and responsibilities include**:
- To support the Senior Project Manager and colleagues within Asset Services as and when required.
- Maintain and update the asset data on keystone. Project spreadsheets and documentation
- To book and maintain appointments for the surveyors, using Foundation to schedule jobs where appropriate.
- Meeting and diary management for the Planned Works team.
- Provide administrative support in meetings to take and distribute minutes.
- Process purchase order requests ready for authorising.
- Assist the Planned Works team in the production and sending of tenant and leaseholder letters.
- Log Resident Satisfaction Questionnaire (RSQ) responses for planned works ready for KPI production.
- To assist the Asset team in promoting and providing information to all staff with updates on planned work on PA’s intranet.
- To log compliments and complaints on the Resolve management system in accordance with the PA policies and procedure including sending out the acknowledgments to residents.
- Contribute to the effective and efficient running of the business and the Group achieving targets and objectives
- Flexibility to enable some work to be done outside normal working hours to meet occasional peaks or deadlines
- Promote recognition of diversity in all respects of service delivery
- Project a positive image of the Group and its subsidiaries by providing an excellent level of customer service to all customers including dealing with complaints
**To be successful in this role, we’d be looking for the following**
- Experience of dealing with people and excellent customer service skills
- Extensive 2 years administrative experience
