We are seeking an enthusiastic Practice Manager to assist with the day-to-day running of a small, friendly architectural practice in Brixton, South London. The role is to ensure the smooth running of the practice for all non-design aspects, managing day-to-dayoperations with a focus on professional and efficient support for the team. Key responsibilities include front-of-house, managing the time keeping system for staff/recourse, financial and office administration including office socials, assisting in managingthe quality management system and other audits for ISO accreditation, along with organising CPDs and social media updates alongside the team.

Zac Monro Architects Ltd is an architectural design practice specialising in providing creative solutions for a broad range of clients. We are a friendly and informal team who are passionate about our work and how we collaborate with the design team andour clients.

The practice was established in 2000 by the MD and founder, Zac Monro. The business is going through an exciting phase, growing its client base, and taking on a variety of projects. This role is pivotal to the ongoing success of the practice and would suitan energetic and approachable individual who is comfortable wearing multiple hats.

Job Responsibilities

Office Management
- Manage reception duties including client and supplier liaison via telephone
- Maintain excellent office standards
- Manage office supplies and equipment
- Co-ordinate facilities (IT support, utilities, cleaning services)
- Arrange office socials and CPDs when required
- Assist with the company's systems, databases, and procedures - Including Quality Management System ISO 9001 audits

Financial Management
- Work closely with the Director, bookkeeper, and accountant to ensure financial control and cost-effective decision-making
- Ensure up-to-date entries are sent to the bookkeeper for income and expenses
- Assist the Director in managing the end-to-end invoice process, chasing debtors for prompt payment
- Ensure the timely payment of bills and staff expenses

Business Development
- Help with marketing and PR activities to improve the practice profile
- Provide excellent client communication, ensuring efficient turnaround of enquiries and fee proposals
- Help organising client data and press information, updating the company website with news and projects as part of the team

Project Management
- Co-ordinate the team timesheet and project management processes through Workflow Max to drive efficient and profitable work across the practice, generating reports as needed
- Support the senior team with improvements in project and resourcing processes
- Help set up and maintain the filing structure for projects, clients and technical data
- Prior Office Management experience, ideally within a creative or design environment
- Proficiency in Microsoft Office, with competence in Excel preferred
- Workflow Max and Xero Experience an advantage, but not essential as training can be provided
- Excellent communication and organisational skills with attention to detail and a desire to drive continuous improvement in the running of the business
- Discrete, personable and professional

Salary and Perks
- Salary dependant upon experience
- 25 days holiday standard, raising up-to 30 days linked to duration at the practice
