Part-time Finance and Admin. Assistant

Award-winning visitor destination designers Studio MB are looking for a Finance and Admin Assistant to join our team in Edinburgh. You will be responsible for helping to provide high-quality administrative support to the company under the guidance and direction of the Studio Manager and Finance Manager to assist in the smooth and efficient running of the office.
Working with the Studio Manager and Finance Manager, your duties will include assisting them with a range of reception administration, finance, HR, IT, building maintenance, new business, communications and health and safety related tasks. You will have excellent administration, communication, organisation and problem-solving skills, be proactive and personable. Due to the nature of the work, your presence working in the Studio is essential. If you have the necessary skills, abilities and ambition, we’d love to hear from you.
**Key duties and responsibilities include but are not limited to**:
- Assisting with financial administration including collating, scanning and filing receipts, invoices and other documents, with a view to developing book-keeping skills.
- Assisting with arranging travel, accommodation and visas, staff events and celebrations, hospitality, catering and refreshments.
- Assisting with diary and calendar management, room bookings, setting up meetings and equipment.
- Assisting with logging, troubleshooting and resolving issues when they arise and helping to arrange maintenance, updates, repairs, replacements, collections and deliveries as required.
- Assisting with liaison with service providers/contractors including IT, cleaners, waste and recycling, services, utilities, etc.
- Assisting with company/office projects, such as office layouts, redecoration, clear outs, IT upgrades etc.
- Assisting with monitoring, maintaining and updating files, records, databases, spreadsheets, documents etc.
- Assisting with taking minutes, typing up notes/documents/letters, undertaking proof reading and editing for the team.
- Undertaking data entry, filing, shredding, photocopying, printing, scanning, binding etc.
- Assisting with incoming and outgoing post, parcels and deliveries.
- Assisting with ordering and maintaining office supplies and consumables.
- Assisting with monitoring building, helping to ensure all areas are kept clean, tidy, stocked and operational.
- Assisting with updating company website and social media content.
- Undertaking research, running errands and assisting with ad hoc tasks and support requests from the team.
- Assisting with other studio tasks and projects from time to time as required.
**About You**:
Essential:
- Educated to minimum National 5, GCSE, or equivalent qualification level, including English and Maths.
- Previous experience of working in an admin, reception, PA, secretarial or office-based role.
- Interested in all aspects of administration and operations, with excellent administration, communication (written and verbal), multi-tasking, organisation and problem-solving skills.
- Personable, professional and confident communicator, with a clear and polite telephone manner.
- Ability to work methodically and accurately with a meticulous eye for detail.
- Resourceful and adaptable when issues arise.
- Ability to work flexibly in support of the company and be comfortable with routinely shifting demands and priorities.
- Computer literate, with working knowledge of Microsoft Office suite, including Outlook, Word, Excel and Teams.
- Ability to work with discretion and confidentiality.
- Positive and proactive, keen to learn and develop skills and be willing to undertake new tasks according to the needs of the business.
Desirable but not essential:
- Working knowledge of Apple Macs, Xero and Adobe Creative Cloud suite.
- Working knowledge of various file sharing and team collaboration software e.g., Miro, Google Docs, Dropbox, WeTransfer or Microsoft SharePoint.
- Working knowledge of GDPR and data protection.
