**Job Overview**
We are seeking an organised and proactive **Office Administrator** to support the smooth day-to-day running of our service team and office operations. This role will provide essential administrative support, assist with internal processes, and ensure accurate record keeping across the business. Over time, the role will expand to include support with invoicing and compliance duties following training and development.
**Key Responsibilities**
**General Administration & Office Support**
- Provide day-to-day administrative support to the service team and wider business.
- Maintain accurate records, schedules, and documentation for office and field staff.
- Assist with coordination of training and certification requirements for engineers and staff.
- Support with internal reporting, record keeping, and office filing systems.
- Liaise with clients, suppliers, and subcontractors as required
**Compliance Support** & **Invoicing Support (following training)**
- Help maintain client and internal asset management systems, ensuring information is accurate and up to date.
- Assist with tracking company certifications, renewals, and health & safety requirements.
- Support subcontractor approval processes by helping to review and log documentation.
- Assist the service team with reviewing job costings and preparing documentation for invoicing.
- Support the coordination of reports such as Work in Progress (WIP), service, maintenance, and parts.
- Contribute to ensuring records align with internal deadlines and reporting requirements.

- Strong organisational skills and attention to detail.
- Good communication skills, with the ability to liaise confidently with internal teams and external partners.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Willingness to learn and develop skills in invoicing and compliance over time.
