**Job Title: Administration Assistant**

**Location: Chelmsford, Essex**

**Responsible to: Branch Manager**

**Salary: £12,191 per year**

**Hours: Part Time - 22.5 hours per week (Wednesday, Thursday, and Friday)**

**Your main duties will include**:

- Receive all commissioning inquiries from SPT and liaise with area coordinators and office management.
- Check purchase order details and return incorrect Information for service provider document (ISP) to SPT for an amendment if necessary.
- Once the correct ISP is received and commissioning agreed upon, forward it to the Forest Homecare Finance department.
- Produce Forest Homecare Support Plans for service users from the information provided, monitor and update as packages alter.
- Ensure confirmation paperwork is received from ECC and chase up as required.
- Deal with all inquiries for ECC, private packages, and continuing health packages in liaison with the Review Team
- Manage changes to all ECC, Private, and Continuing Health packages.
- Liaise with SPT, Coordinators, Review Team, Finance department, and Head of Operations regarding capacity for packages, additional time requests, and contracts.
- Transfer all confirmation paperwork onto the new Service User profile.
- Complete specialist views of others (SVO) requests for suspensions and terminations, update coordinating software system and relevant paperwork
- Perform any other administrative tasks as required by the Office Manager or Head of Operations including scanning and logging all incoming paperwork, care plan deliveries and updates, risk assessments, carer concerns, and general filing/archiving as required.

**Person specification**:

- You will have excellent organizational skills and effectively manage priorities, working well under pressure.
- You will have excellent communication and written skills.
- You will be able to deal sensitively and effectively with calls from service users or their representatives, health and social care professionals, and other organizations and forward sometimes complex/urgent messages.
- You will understand the importance and benefits of teamwork and have a flexible approach to undertaking other duties as required by the office manager.
