**What you'll do**:
At Optiver, no two days are the same. In your role as Executive Assistant your primary focus will be to support our Management and Supervisory Boards and our Corporate Secretary. You will be part of our Executive Office team, which consists of the Corporate Secretary, whom you will report into, a Paralegal and two Executive Assistants. The Executive Office is fully focused on providing 'best in class' support to the Management Board (MB), Executive Committee (ExCo) and Supervisory Board (SB) (together the Boards) of our company. The Executive Office has fast turnaround times and focuses on very high precision in work in terms of information flows, meeting documentation and everything to be taken care of around meetings of the Boards, including the logistics. The Executive Office team is a new team and you can really make your role as Executive Assistant within this team your own. In short, as Executive Assistant your responsibilities will include (together with the other Executive Assistant in the team):
- Calendar and mailbox management for the MB members (the Global CEO, Global CRO and Global CFO).
- Supporting the Corporate Secretary in the administrative part of her job.
- Scheduling all meetings of members of the Boards and coordination with the other Executive Assistants in the Optiver regions (APAC, US, Europe).
- Preparing the annual calendar with all meetings of the Boards, the shareholders meetings and the Annual Partner meeting.
- Organising all logistics around the meetings of the Boards and the Board members (restaurants, events, travel, meeting times etc).
- Organising the SB meeting abroad in June each year together with the Executive Assistants in the relevant location.
- Preparing formats for agendas, cover notes, minutes, action and decision lists.
- Informing all owners of topics on what is expected from them and within which timelines.
- Developing a submission procedure for meeting documentation and ensuring compliance with quality requirements.
- Responsible for smooth organisation around certain organizational processes, such as Business Planning, dividend planning, larger global projects.
- Making sure all meeting documents (including cover pages) are submitted in time (and in correct format).
- Organising logistics around educational sessions, teach-ins, deep dives, onboarding programs.
- Organisation of the Annual Global Partner meeting.
- Keeping bio's of all members of the Boards up to date.
**Who you are**:
Optiver is seeking our next Executive Assistant, and we are looking for someone with the following qualifications:
- An academic degree.
- Demonstrated experience as an EA at an advanced level.
- Proven experience working at Board/C-suite levels
- Excellent interpersonal communication skills in English, both verbal and written.
- Strong proficiency in Microsoft Office programs, particularly Word and Outlook.
- Excellent understanding of organizational processes.
- Strong organizational and time management skills, prioritizing and meeting deadlines
- Service orientated with exceptional attention to detail.
- Ability to handle confidential and sensitive information in a discrete manner at all times.
- Results-driven and pro-active mindset, self-motivation, flexibility and enthusiasm.
