Executive Assistant- Chair of The Board

**What’s the role**
As the Executive Assistant to the Chair of the Board at Shell plc, your primary responsibility is to deliver dedicated, efficient, independent, and proactive executive support. The role requires an exceptional individual with a proven history of providing top-tier assistance in an Executive Assistant capacity.
Additionally, you will be an integral part of the broader Shell Corporate Secretariat team, formally reporting to the Company Secretary of Shell plc. You will also manage and provide appropriate support to the Non-Executive Directors of the Board.
**What you’ll be doing**
As Executive Assistant, you will work closely with the Chair and the Company Secretary to ensure seamless support for the Shell Board.
Other responsibilities include:
- Day-to-day support to the Chair, including scheduling and diary management - prioritising allocation of time, coordinating and arranging both internal and external meetings based on a clear understanding of their purpose, relative importance and priority
- Ensuring efficient and proper communication with and support to the Non-Executive Directors of the Board of Shell
- Effectively organising Board and Committee meetings, as well as conferences and other events, as required
- Planning, organising and managing travel requirements of the Chair and Non-Executive Directors, including related expense claims
- Providing support with pre-reading materials for the Board or its Committees and assisting with uploading the same onto the Diligent Board Books platform
- Filing of Records as well as other relevant documentation, in Most Confidential SharePoint
- Providing a high level of independent, judgment-based administrative service in the daily running of the Corporate Secretariat, without the requirement for significant consultation or guidance
- Handling any arrangements for physical visitors to Shell Centre (overseeing requirements for the same in other locations as appropriate) from a wide variety of cultural backgrounds
- Collaborating as proper with other senior Executive Assistants and building a network of contacts, both internally and externally, to ensure an effective and efficient working environment and strong support to client groups
**What you bring**
- Must have experience as an Executive Assistant with outstanding business support skills.
- Ability to work both independently and as a member of a team, to set priorities and manage workload across multiple stakeholders and across various time zones
- Requires judgement, discretion and diplomacy as well as a high degree of integrity and comfort working on confidential matters
- A self-starter and problem solver, able to display initiative and a large degree of flexibility to take on a range of activities
- Able to multitask and manage conflicting priorities with a positive attitude
- Excellent interpersonal skills with an ability to communicate effectively and a proven track record of establishing relationships and networks at all levels
- Confident in dealing with senior leaders and external visitors, and to act as an Ambassador for Shell
- Flexibility to provide necessary support across multiple time zones and across challenging and changing agendas
- Teamwork, accuracy, service orientation and a proactive attitude are essential
- The ability to work under pressure and cope with last-minute changes is also critical to this position
- A flexible approach to working hours and optimal leave periods will be required, based on the office presence, schedule and general needs of client groups and in particular the Shell Chair
A London (Shell Centre, Waterloo) office-based role, dealing with multiple issues in a complex and fast-paced environment, confidence is required to interact at all levels, both within Shell and externally, whilst maintaining the highest degree of judgement and confidentiality
