Executive Support Coordinator for Prestigious

Our lovely client has an exceptional opportunity for a dedicated and discreet Executive Support Coordinator to join a highly private Ultra-High Net Worth family at their estate in Henley-on-Thames. This is a permanent role offering a unique experience to work within a dynamic team dedicated to the highest standards of professionalism.
**The Role**:
Reporting directly to the Chief of Staff, you will provide comprehensive support to them and two Executive Assistants, ensuring smooth management of day-to-day operations.
This position has the chance to grow and develop in terms of responsibilities. The clients seek someone loyal and trustworthy who wants to stay with them long-term. You will be polished and direct in your approach to work and happy to lend a hand wherever required. You will be proactive and reactive, comfortable with changing plans, and remain calm in stressful situations.
**Key Responsibilities**:
- Collaborative diary and travel management
- Conduct thorough research and make informed decisions
- Handle basic finances and administrative duties with precision
- Filing, reporting, and upholding systems of confidentiality
- Limited direct interaction with the principal family, preserving their privacy and security
- Answer phone calls and direct calls to appropriate parties or take messages
- Perform general office duties, such as ordering supplies, maintaining records, managing database systems, and performing basic bookkeeping work
- Read and analyse incoming memos, submissions, and reports to determine their significance and plan their distribution
- Arrange, plan and make appointments for the principals
- Prioritise conflicting needs
- Agenda management of meetings
- Organise renewals of policies and contracts
- Attend meetings and events on behalf of the executives
- Occasional travel to London
- Additional ad-hoc tasks when needed
**Requirements**:
- Exceptional command of English and exemplary communication skills
- Ideally, you'll have experience within a private office or household
- Must live within a 1-hour commute of the estate
- Ability to operate with the utmost discretion
- Professional, well-presented, and polished
- Meticulous attention to detail
- Great team player
- Excellent MS IT skills
- Loyal, discreet, and trustworthy
- Proactive, adaptable, and efficient
- Clean, valid UK driving licence
- Excellent checkable references
**Recruitment Process**:
