Purpose:
To provide a monthly payroll and benefit administration service covering circa 1,500 colleagues over 6 UK Payrolls with HR contact points for each Business Units.
Ensure employees are paid correctly and on time, HMRC annual returns and payments are on time and benefit deductions are effectively managed, administered and reconciled.
Responsible for- Ensuring compliance with the latest relevant legislation, statutory filing deadlines, and internal management reporting requirements, liaising with External Parties, HMRC & Finance- Resolving payroll and benefit deduction administration queries from Line Managers and Colleagues- Ensuring compliance with all legislative, HMRC and internal audit requirements- Provision of management information- Managing the relationship with ADP and day to day engagement with benefits providers- Ensuring all confidential information is kept within the Data Protection Act 1998 and GDPR regulations- Working closely with the HR team on key projects
Key responsibilities- Input and processing of payroll data including starters, leavers, changes, overtime, bonus payments and absence- Completion of all year-end processes on time including P11D, P14, PSA, P60- Ensuring individual benefit deductions from Ultra Select and other sources is reflected in payroll and matches data held by benefit providers- Production of timely management reports relating to payroll and benefits- Maintaining accurate and easy to use current and archive filing in relation to payroll and benefits- Adhering to company confidentiality policies and procedures- Working with HR to provide a good ‘employee experience’
- Payroll_- Understand all HR policies, procedures and documentation and how these are administered via payroll- Ensure knowledge regarding payroll legislation remains up to date- Ensure all HMRC and other legislative requirements are met in an accurate and timely manner- Responsible for running payroll from start to finish, agree and communicate timetables to HR finance contacts to meet monthly deadlines- Accurately enter and maintain data on the Payroll systems within the given time scales. Check and record payroll changes, starter and leaver forms. Accurately calculate tax and NI deductions, SSP, SMP and SPP.- Manage peaks of work, e.g. annual pay reviews and bonuses- Ensure monthly payroll BACS file, 3rd party payments and any exceptional payments are timely and accurate- Produce & distribute payslips, P45s and P60s. Report monthly information to HMRC in a timely manner (RTI)- Ensure all year-end processes are completed accurately and in a timely manner e.g. production of P60s, P11Ds, P14, P35, PSA, STBV- Ensure payslips available on-line (via ADP), reset passwords as necessary- Ensure data to/from HR colleagues is transferred securely- Ensure filing is up to date and kept in a secure location- Ensure all external/internal audit requirements are met and manage any audits- Ensure an accurate and up-to-date user guide and processes are available for all payroll processes- Work with Accounting Services team to provide analysis to enable payroll costs to be charged out to business lines.- Work with Accounting Services team to ensure relevant items are reconciled (i.e. payroll deductions for tax & NI v amounts paid to HMRC)
- Benefit Administration_- Co-ordinate all areas of benefit administration and queries, including pension scheme, healthcare and Ultra Select options (e.g. childcare vouchers)- Collate taxable benefit information regarding healthcare etc and calculate deductions e.g. NIC1a- Ensure all supplier invoices are coded and paid on time- Work with Accounting Services to ensure relevant items are reconciled (i.e. payroll deductions v amounts paid to providers, e.g. Pension or Child care voucher providers)- Manage relationship with benefit vendors and complete renewals annually
Role requirements- Must be able to meet the requirements of for BPSS and SC level clearance
Qualifications/ Experience/ skills required- Strong end to end payroll experience- Working knowledge and understanding of UK Payroll and Benefits i.e. Issuing P45s, P60s and P11Ds, auto-enrolment- Up to date concerning all legislation relating to payroll and benefits- Multi-payroll experience- ADP iHCM experience would be an advantage- Structured in approach but flexible enough to adapt to a changing environment- Strong analytical and problem solving mind-set, keeps abreast of payroll and benefits legislation and plans ahead for changes- Competent in Microsoft Office including Excel to advanced level- Strong knowledge of salary sacrifice and flex
