Our prestigious client based in Southampton have an exciting opportunity to join their growing business as a Site Facilities / Estate Manager.
**Key responsibilities**:
- Management of the Estate service charge including preparation of budget and authorisation of expenditure against budget, monthly checks on budget verses expenditure and liaison with Surveyor as required.
- Management of contractors delivering Mechanical and Electrical support, Landscaping, Security, Cleaning, Waste disposal, Fire equipment and training.
- Establishment of Service Level Agreements with all contractors and management of delivery through the associated Key Performance Indicators.
- Management of the planned maintenance programmes and administration of the Estate sinking funds with Surveyor.
- Management of Reception, Meeting Rooms, Post Rooms, Photocopiers, Telephony and any other services provided
- Management of property modifications, dilapidations, and issue of letters of authority for Occupier works in conjunction with Surveyor.
- Acting as main point of contact for Occupiers in respect of Estate business, including liaising and informing as appropriate (eg. for power outages, fire alarm tests).
- Management and reporting of all aspects of HSE relating to the buildings and estate and a Health and Safety qualification.
- Management of new and existing occupiers on building administration issues (eg. keys, telephones, furniture) and ancillary occupier charges.
- Arrangement for locking/unlocking, HSE inspections, fire alarm testing, portable appliance testing, water testing, meter reading, fire drills, small repairs and lamping (through subcontractors where appropriate).
- Responsibility for all parking and signage issues on the Estate.
**Experience required**:
- In-depth knowledge of Facilities Management and excellent Technical Knowledge.
- Up to date and in-depth Health and Safety knowledge
- Strong client / tenant facing skills are required
- Good knowledge of current legislation; RICS Code of Conduct, Rules, Regulations and Professional standards.
- Proficient in the use of MS Office suite, Teams and Zoom
- An adaptable and dependable person with a willingness to learn and develop.
- Interpersonal skills, and the ability to manage the Site Facilities team and all contractors and/or other professionals working on projects.
- Demonstrate excellent verbal and written communication skills with a keen eye for detail
- Team player with the ability to work upon own initiative and unsupervised
- Flexible working attitude with the wiliness to visit other sites as and when needed
- Current and full driving licence and with access to vehicle.
- Be familiar with managing the 'life of a property' including but not limited to establishing and terminating contracts, performance review of contractors, setting budgets, and monitoring through budget variation, use of approved supplier listing, abilityto deal with unplanned issues.
