An exciting opportunity has arisen within the Medicine and Emergency Care (MEC) secretarial team for a suitably qualified, enthusiastic, motivated medical support secretary within our Gastroenterology and Hepatology teams. The support secretary will also be expected to provide cover for the secretarial team during annual leave and sickness.

You will be based mainly at Royal Blackburn Hospital but travel across ELHT sites including Accrington Victoria Hospital and Burnley General Hospital may be required during busy periods.

You will be joining a friendly team of medical secretaries and, as such, you will be an accomplished and flexible team player with a positive and approachable manner.

The post holder will undertake a wide range of secretarial, administrative and clerical duties with specific responsibilities including, but not limited to, digital audio-transcription of clinic letters and other correspondence and prioritising post/results/correspondence.

You will be able to demonstrate excellent communication skills and be able to use your own initiative.

Experience of audio transcription is absolutely essential and medical terminology would be an advantage, as would experience of working in a busy, demanding secretarial role.

You will need to be calm under pressure and be able to prioritise and manage your workload, often with mínimal supervision. This is a demanding but rewarding role and an invaluable pathway to becoming a band 4 secretary for the right person.

To provide secretarial support to the Medical Secretaries within the Gastroenterology and Hepatology departments. You will cover during periods of annual/sick leave.

**Duties include, but not limited to**:

- Digital transcription of clinical letters, correspondence and reports using Word, Excel, Outlook, Winscribe and other in-house systems.
- To prioritise workload ensuring deadlines are met on a daily basis.
- Receive telephone enquiries with tact and discretion and have the ability to deal with these appropriately and in a timely manner.
- Receive and prioritise incoming/outgoing post, both paper and electronic.
- Retrieve patient results from ICE desktop in a timely manner and maintain systems for monitoring and retrieving outstanding investigations. Filing results once signed by the Consultant.
- To provide general administrative duties e.g. filing, faxing, scanning and photocopying.
- Tracking in/out medical notes. Requesting notes from medical records as appropriate.
- Ensure effective communication with all work colleagues, visitors and patients.
- To cover consultants’ secretaries in their absence.
- Maintain confidentiality at all times ensuring that information is only divulged to authorised sources and by appropriate means.
- Input and extract data from patient administration system (PAS) and other relevant software programmes, which may be Trust-wide or speciality-specific.
- Cancelling/amending outpatient clinics in Consultant’s absence.
- Attend all mandatory training.

You will be able to demonstrate excellent communication stills and be able to use your own initiative.

Experience of medical audio transcription is essential and medical terminology would be an advantage, as would experience of working in a busy medical secretarial office.

You will need to be calm under pressure and be able to prioritise and manage your workload, often with mínimal supervision. This is a demanding but rewarding role and has opportunities for career progression to a band 4 secretarial role.
