Who we're looking for

We're looking for an executive assistant to support the Heads of EMEA Operations.

We need someone who's flexible and creative, with the ability and confidence to communicate effectively at all levels.

You'll get the chance to work with different areas of the business, organise events for the campus, assist with the production of board reports and work with the communications manager on various initiatives.

The base

You'll be based at our Broadlands Business Campus near Horsham in West Sussex. That's our operations hub - home to our client servicing, product reporting and operational oversight for Europe, the Middle East and Africa.

It has the same high standards and international reputation as our HQ in the City of London, without being in the city: a big, countryside campus (and no commute on the Tube) means life will feel a little different.

What you'll do

Provide a high quality, efficient and effective secretarial/administrative support service including;
- Provide secretarial support to Heads of EMEA Operations
- Proactive diary management, arranging meetings including the organisation of all travel arrangements and itineraries.
- Organise internal and external meetings/events, including room booking, catering etc.
- Provide telephone support to the team.
- Produce agendas, minutes and reports for various meetings.
- Complete accurate expense claims on Oracle system.
- Process team invoices using Fusion system.
- Ad hoc preparation and formatting of presentations.
- Maintenance of organisation charts and distribution lists.
- Order and maintenance of stationery supplies for the department.
- Liaison with facilities management, couriers, post room as appropriate.
- Build relationships with other assistants across the company.
- Continuous improvement of day-to-day procedures relating to this role.
- Create and maintain birthday/Schroders anniversary calendar model.
- Assist with organisation of events such as the Christmas party, Summer BBQ and Townhalls.
- Assist with Wellbeing events and maintain Forum action points log, with follow up.
- Collate Board and Committee papers (quarterly).
- Oversee Instant Reward Scheme.
- Collaborate with Benchmark Capital to organise combined events.
- Attend and record committee meetings, in order to produce comprehensive minutes.

Essential Skills
- Previous secretarial/administrative experience.
- Experience of formal minute taking.
- Sound grammatical understanding; accurate spelling and attention to detail.
- Excellent Microsoft Office skills.
- Positive professional manner and proactive approach.
- Confident telephone manner.
- Excellent communication skills.
- Strong interpersonal skills and ability to build rapport at all levels internally and externally.
- Ability to work proactively, prioritise and work to tight deadlines whilst managing competing demands and workloads.
- Ability to assimilate information/instructions quickly.
- Flexibility to take on a variety of tasks and work autonomously.
- Team player who will show commitment and “go the extra mile”.

Desirable Skills

Previous knowledge and/or experience within Investment Management or Financial Services.
