**Job purpose** To provide administrative support to the Executive, Governance Council, Public Interest Committee and other sub-committees as required, ensuring due process is followed, the Members' Agreement is adhered to, meetings are scheduled appropriately, agendasare in place, papers submitted are of a high quality; and appropriate records of all meetings are maintained, and actions are logged and followed through to completion. In this role, you will also provide dedicated administrative support to individual seniorleadership team members, in particular the CEO, as and when required, including complex diary and travel management.

**Role & Responsibilities**:

- To work closely with the Head of Secretariat as well as the CEO and Chair of Governance Council to manage the Executive meetings, Governance Council meetings, the Public Interest Committee and other sub-committees, ensuring they are properly supported intheir activities
- To work closely with and guide the Secretariat Assistant and other members of the business support team in their administrative duties
- To produce agendas for the relevant meeting/away day, in line with the process for doing so
- To assist in the production of high-quality papers for the relevant meeting, ensuring they are submitted in a timely manner in a standard format and ensuring that the business understands the relevant governance process that must be adhered to
- To attend the relevant meeting as required and ensure they it is properly recorded with minutes produced and finalised prior to being shared across various Boards as appropriate
- To assist in the maintenance of an actions log, including following up on actions as appropriate
- To adhere to the relevant processes, procedures and templates as required to provide a proper governance structure around the relevant boards
- To work with the Head of Secretariat to improve efficiency, proactively developing proposals to streamline processes
- To provide dedicated administrative support to the CEO and other individual senior leadership team members as and when required, including complex diary and travel management and liaison with the PMO for the international Mazars Group Executive Board. Thiswill involve delegating where appropriate to the Secretariat Assistant and the National Business Support Team

**Skills, Knowledge & Experience**:

- Experience of working in a secretariat role, preferably within the professional services sector (desired)
- Experience of providing administrative support to senior leadership team members, preferably within the professional services sector
- Experience of liaising with, and on occasion challenging, people at senior level to ensure that key actions and deliverables are met
- Relevant professional qualification (or the desire to pursue a relevant qualification, with support), such as The Chartered Governance Institute
- Strong written skills, including the ability to produce succinct minutes
- Strong attention to detail
- Strong organisational and multi-tasking skills
- Flexible with the ability to work effectively under pressure and manage conflicting priorities
