Job Description Summary

We are looking for an enthusiastic Team Secretary to join a vibrant team in our London office within the Valuation & Advisory Department. You must be able to provide skilled secretarial, administrative and financial support to Partners and their teams, ensuring that a high-quality service is maintained day to day.

You will be a key member of a team, have a proven ability to both work closely in a team structure as well as being self-motivated.

**Job Description**:
**Core Responsibilities**:
Creation of a large volume of invoices.
Managing the team’s work in progress schedule whilst maintaining job forecasting using Excel.
Creation of conflict check reports and creation of appropriate electronic files
Managing the team’s work in progress records and forecasting.
Oversight of team workflow from pending jobs to completion, ensuring full visibility of income
Preparation of correspondence and formatting reports to a client facing standard.
Manipulating data, creation and updating various lists, spreadsheets & schedules using Excel, to a highly proficient level
Monitoring of debtor schedules and co-ordinating proactive team management of any overdue client payments.
Co-ordinating meetings & booking meeting rooms
Travel arrangements for Partners and their teams
Proactive management of team contact databases.
Assist with additional ad-hoc duties in order to ensure the smooth flow of work through the team or service line
Processing fee quote requests on an ad-hoc basis and providing holiday cover for the wider secretarial team within Valuation and Advisory
