Buying Admin Assistant

Vivienne Westwood Limited is looking for an experienced Buying Admin Assistant to join the team. The main objective of this role is to provide administrative support to the buying department.
**ACCOUNTABILITIES & RESPONSIBILITIES**
- Preparing and sending of weekly and month top line retail and buying reports
- Supports B/JB/AB with order raising and data management
- updating buying records, order filing, ensures all orders are correctly inserted to value and quantity, in a timely manner before deadlines
- Writing up of meeting notes and distributing to attendants
- Organisation of buying schedule and appointments - liaising with the showroom to book rooms and models, dressing of models and preparation of any required material
- Reviewing and actioning store transfer requests and updating stores accordingly
- Stock allocations - raised twice weekly
- Support with preparation for Buying presentations to Store Managers, Marketing, Press, Retail, COO, Brand Director
- General office administration e.g. stationary order, post and answering the phone
- Assist buying and retail department with any ad hoc tasks as required
- May be expected to work longer hours/weekends during buying season

- Able to focus and keep it simple by organising own workload to ensure deadlines are met
- Is proactive in ensuring the buying department is supported to the most efficient way possible
- Develops a thorough understanding of how all Vivienne Westwood systems are used and can efficiently use them in a timely manner
- Develops rapport with team members throughout the department and is seen as approachable for key contacts
- Is open and receptive and acts upon feedback
**TECHNICAL SKILLS**
- PC literate
- excellent knowledge of Microsoft office: word/ excel/ outlook/ as well as PowerPoint (but not essential.
**KNOWLEDGE & EXPERIENCE**
- Previous experience in buying/the industry generally helps but not necessary. Has view to becoming a Buyer

- Accuracy of order details and raising
- Up to date housekeeping on data
- Highly organised with excellent attention to detail on all areas of responsibility
- Good problem solving skills, takes initiative to resolve issues
