The West management administration team are a supportive and caring team; they aim to provide high quality support services to our colleagues across the organisation to improve the safety, health and well-being of the people within our area. An exciting opportunity has arisen to join the established and enthusiastic team that provides support to senior managers including heads of clinical services, heads of operations and associate directors.

We are looking for a motivated and resourceful individual to join the team. You should possess commitment to team working and innovative delivery of excellent standards of work. You will join your colleagues in ensuring business continuity is maintained by participating in a rota of tasks that are shared across the administration team as well as having individual duties and responsibilities. The role is to provide temporary maternity cover and will be mix of remote (home) and office based working. Although the role is being advertised as full-time with core hours of 9am-5pm, Monday to Friday, part-time or flexible working (minimum of 22.5 hours per week) will also be considered.

The successful applicant will be required to develop agendas and take minutes of senior management meetings within Care Groups (including Neighbourhood based services, Children, Young People and Families and Specialist Mental Health place-based services) and presenting final minutes to a professional standard. Previous experience of drafting agendas, note taking and producing minutes/action logs would be beneficial. You would also provide support with diary management for senior managers along with all other administrative duties which the role may require such as; arranging meetings/events/hearings, booking venues and arranging travel requirements, production of correspondence, reports and presentations, utilising organisation systems such as ESR (electronic staff record) to support the recording of supervision and appraisal data and Oracle for the procurement of equipment and stationery.

The applicant will be expected to be able to organise and prioritise their own workload on a daily basis to ensure that time deadlines are met and that urgent work and projects are accommodated. You will also work with team colleagues to ensure a smooth, seamless service is provided in the absence of other team colleague.
