A very exciting opportunity has arisen to join Costa Coffee as an Office Administrator working from our Lisburn Office.

You will be responsible for assisting in the smooth running of the office by providing excellent customer care to our Costa Express and Proudly Serving Costa customers. You will be the first point of contact for our customers, ensuring that orders are processed in a timely fashion, any queries are dealt with the utmost care and any requests by team members are handled appropriately.

The Costa Coffee story began back in 1971 when Sergio and Bruno arrived in London with a burning desire to make great tasting coffee a part of everyday life.

Setting up a small roastery in Fenchurch Street, they committed to crafting the finest quality coffee.

It was here the Costa brothers blind-tested 112 variations of coffee before they tasted one good enough to be our signature blend. They named it ‘Mocha Italia’ and it remains our signature blend to this day.

**Main Responsibilities**
- Assisting with campaign mail outs and sending point of sale marketing materials
- Enter and Maintain customer details on Sage 200
- Manually transfer stock from our warehouse/stock area in our Lisburn office to loading area
- Arranging collections with courier and logistics partners
- Processing sales orders via Sage 200 for our Proudly Serving Costa customers and tracking customer orders
- Processing orders for our Costa Express customers
- Uploading pick file, POD and balance sheets for Costa Express customers
- Processing sales and purchase invoices
- Sending customer statements, collecting payments and assisting with sales invoice queries for Proudly Serving Costa Customers
- Creating contracts for new and existing customers
- Completing all administration for the installation of new sites
- Updating and sending weekly reports to upper management
- Booking accommodation for team members when necessary
- Scanning and filing all necessary documents
- Providing support to other team members
- General administrative duties
- Any ad hoc duties as required by the office head

**Person Specification**
- Experienced in using Sage or similar accounting software
- Previous experience working within a fast-paced customer service environment including supporting a small team
- Must have ability to work on own initiative and as an integral member of the team
- Strong attention to detail and driven to succeed in the role
- Excellent communication both written and verbal as well as planning and organisational skills are essential for this position
- Proficient in Microsoft Office packages, including Word, Excel and Outlook
- Great team player who works well under pressure and displays a calm and professional manner at all times
- Full clean driving license

This is a full time role based in our Lisburn Office.

Monday - Friday, 09:00 - 17:00

**Salary**: £21,500 per year.
