We are looking to appoint a Business Support Assistant/ Personal Assistant to support our Deputy Director and provide corporate support to our division.

This role includes the completion of a Business Administration Apprenticeship (Level 3)

The Post-16 Skills and Strategy Directorate leads the government’s agenda to transform our post-16 skills system. Skills is a top priority for the Prime Minister and Secretary of State and at the heart of the government’s agenda to level up and improve economic outcomes across the country. This role sits within the Skills Strategy and Delivery Division which leads on strategy, delivery and spending across the Skills Group.

**Job description**:
**Key responsibilities of the role**:

- Leading on recruitment and HR related issues for the division
- Managing travel bookings.
- Assisting the directorate support team with finance, including budgeting and setting forecasts for the division.
- Maintaining accurate staffing data and leading on monthly staffing commissions.
- Managing and tracking a range of divisional budgets including for travel, learning and development, and staff rewards.
- Ensuring the Deputy Director is fully briefed and has relevant documents in advance of all meetings.
- Arranging meetings and leading on logistics for meetings - including room bookings, invitations, circulation and filing of papers / minutes.
- Directing and assigning work across the division and the wider Skills Group appropriately, including commissioning drafts, updates and briefings etc.
- In addition, you will have the opportunity to develop your own projects, taking responsibility for areas of work on behalf of the Deputy Director and representing them in their absence.

**Please note**:

- You already have all the skills and knowledge that is covered in the contents of the apprenticeship standard.
- You have already worked in a similar role, or your previous learning, and/or work experience covers the contents (Knowledge, Skills and Behaviours) of the apprenticeship standard.
- You have a degree (or equivalent) in Business Administration.
- Part of this apprenticeship is to complete a level 2 English and Maths functional skills qualification. If you have already achieved GCSEs in English and Maths at Level 4 (grade C) or above, you will not need to complete the functional skills qualification.
- At the enrolment state, the individual's eligibility will be checked by the training provider.

**About the Apprenticeship**

This is an excellent opportunity to gain a Level 3 apprenticeship in Business Administration.
- Must have lived in the UK and/or EU for 3 years prior to apprenticeship start date
- Not be undertaking another apprenticeship at the same time

- Have strong communication skills and the ability to confidently engage with stakeholders across the Department.
- Have a good level of written English and strong attention to detail.
- Be resilient, tenacious and able to work effectively and flexibly in a fast-paced environment.
- Be able to work flexibly across the wider team, taking the lead on tasks where appropriate to provide additional support.
- Have exceptional organisational skills including the ability to manage multiple, often conflicting priorities.
- The ability to work on own initiative within defined processes, referring upward as required.

**Essential criteria**:

- IT proficiency, including, Excel, MS teams and PowerPoint.
- Strong communication skills and the ability to confidently engage with stakeholders.
- Exceptional organisational skills including the ability to manage multiple, often conflicting priorities.
