**Job Purpose**

Reporting to the HR Manager, the primary purpose of the role is to provide a first-class front of house ‘welcome’ to clients, visitors, and staff in a busy environment, ensuring excellent customer service is always delivered.

**Key Responsibilities**
- Meet and greet visitors ensuring they are dealt with courteously and efficiently. Advising host of arrival and all visitors are signed in. Make refreshments for guest & visitors.
- Act as ‘first point’ of contact for PEL visitors, contractors and PEL staff.
- Manage the booking of meeting rooms ensuring that the information is shared with colleagues over the intranet and rooms are confirmed.
- Operate the switchboard effectively, handle incoming calls efficiently and direct calls to the appropriate people.
- Responsible for booking travel and accommodation for all staff.
- Arranging hire cars for business trips.
- Logging of incoming and outgoing post, franking, arrangement of couriers and distributing the outgoing mail.
- Stock control management including ordering and purchasing stationery and general office supplies.
- Filing, scanning, binding, and photocopying.
- Ordering of catering & refreshments for meetings, meeting room setup (cleaning and tidying) before and after meeting.
- Assisting the wider company with administrative tasks as required to ensure the smooth running of the organisation.
- Acting as a trained first aider/fire Marshall.
- Other related duties as assigned.

**Skills/Experience**
- Has proven experience as an administrator/receptionist and has a willingness to gain further knowledge and education as required.
- Has exceptional communication skills both written and verbal.
- Has excellent interpersonal skills - with a positive, friendly, and outgoing attitude.
- Has a proactive attitude to creating a first-class customer experience.
- Must have a good working knowledge of Microsoft Office packages which includes MS word, Excel, and PowerPoint.
- Ability to work to tight deadlines, excellent attention to detail and prioritise your work.
- The ability to think on your feet and use your initiative within appropriate boundaries.
- Proactive approach to supporting the management and operational needs of the office.
- Respects the need for confidentiality, demonstrates tact and discretion and has good judgement in managing appropriate sharing of information.
- This is a dynamic role that requires an adaptable, committed, and flexible approach to your work.
- Strong organisational and time-management skills with the ability to multi-task.
- Can prioritise effectively and have a methodical and organised approach to work.
- Demonstrates mature behaviour and creates a positive working relationship.
- Can work in a team and independently.
- Previous experience of working within the Engineering/Manufacturing sector would be advantageous.

**Personal attributes and other requirements**
- There are several security obligations placed upon the Company, which means that all staff must be able to successfully achieve the relevant security clearances.
- You will be expected to support in-house training programmes, as required.
