OPAC Administration are recruiting an enthusiastic & motivated Assistant Administrator to run front of house operations at one the Trust's Huntingdon office locations.
The working hours are Monday - Friday, 08:00-16:00 or 08:30-16:30.

- incoming & outgoing mail & delivery processing.
- Reporting site maintenance issues.
- Welcoming & directing visitors to meeting rooms or hot desk locations.
- Monitoring & ordering stationary for the OPAC Admin Hub.
- liaising with IT & estates for on site maintenance & faults.
- Provide admin support to team's working within the OPAC Admin hub as directed by the Admin Lead.
- Providing on site support to the Admin Lead for site issues.

Our clinical teams deliver many NHS services not only via inpatient and primary care setting but also with the community. These services include Children, Adult & Older Peoples mental & physical health, Forensic & Specialist mental health, Learning Disabilities, Primary Care & Liaison psychiatry, Substance misuse, Social care, Research & Development.
1. Word processing of all forms of correspondence, reports and summaries that are required by the team.
2. Ensure good customer service by providing a professional and effective service by dealing with queries from service users, carers or staff in person or on the telephone.
3. Take accurate messages and ensure these are passed onto the appropriate person.
4. Organise appointments and transport when needed.
5. Carry out any office duties, such as dealing with post and photocopying; be responsible for document filing and ensure that the relevant records are organised, accessible and up to date.
6. Arrange meetings as and when required.
7. Monitor and maintain the departments stocks.
8. Accurately input data onto the relevant electronic system, in a timely manner in line with the standard operating procedures.
9. Prepare new information packs when required and monitor supplies of CPFT leaflets to ensure adequate stock levels are maintained.
10. Be responsible for filing of all documentation in the clinical notes, in accordance with relevant procedures.
11. Be responsible for daily maintenance and organisation of your team environment (e.g. Front of House / Team Office). Report concerns, incidents and maintenance issues to the relevant individual, as required.
12. Provide cover as directed by your manager, for other members of the team in their absence and assist with their workloads as necessary
