**SUMMARY**:
The role of Contract Administrator is to be responsible for co-ordinating and administering end of contracts and contractual clauses and changes. They will also handle the end-to-end process for end of contract for both renewals and terminations, communicating with relevant teams.
**KEY RESPONSIBILITIES**:
**Terminations**:
- Administer end of contracts, including early terminations, ensuring process is followed at the due date.
- Terminations of contracts, raising termination quotes and negotiating through to invoicing to the customer
- Confirming ownership and arranging for equipment to be returned where/if needed.
- Liaising with the warehouse team on ownership of machines.
- Communicate and process contract terminations through Salesforce and Vantage whilst keeping Account Manager up to date.
- Contact relevant departments to ensure smooth removal of devices from portals and systems.
- Communicate and ensure Credit Control has put the customer on stop to ensure mínimal service visits and toner usage.
- Arrange kit to be returned to finance companies at the end of the agreements, ensuring it is returned before the lease deadline.
**Contracts & Invoicing**:
- Invoicing of final readings for end of contract and machine returns. Administering closing of contracts on Vantage.
- Ensure all end-of-contract collection elements are included in arrangements; data removal.
- Support the generation of additional revenue by enforcing terms of the service agreement e.g recovering costs of unused toner, excess toner usage and excess coverage etc
**Other duties**:
- Cover the Lease Desk Supervisor during holidays and busy periods.
- Adhoc duties as required.
**KEY MEASUREMENTS**
- Accurate termination calculations and responding to customers in a timely manner.
- Communication between customers and departments.
**SPECIAL REQUIREMENTS**
- Minimum of 1 years’ experience working within a Contract or Sales Support role
- Negotiation skills would be an advantage.
