We have a vacancy for a Support Secretary/Typist in the Rheumatology department at Northampton General Hospital.

You will be working as part of a supportive team providing high quality audio typing and other clerical duties within the department.

We are looking for someone with fantastic administration and excellent typing skills, a great multitasker with a good eye for detail.

This is an exciting opportunity for a highly motivated, enthusiastic individual to join our secretarial and admin team. The post holder will provide an excellent administrative service to enable the delivery of an effective, efficient and timely service to our patients and their families.

This post holder to be responsible for the typing of clinical correspondence and documents relating to patient pathways via the use of digital dictation. Responsible for producing letters within the agreed time frame ensuring quality and accuracy is maintained at all times. Manage the patient’s pathway by responding to queries and requests in clinical correspondence. Communicating these actions via the use of the IT solutions provided to communicate with the Consultant Secretaries and Waiting List Coordinators.

In addition, undertake effective administrative and secretarial duties as part of the administration team.

Provide a comprehensive clinical secretarial service to the Clinical Team to enable them to carry out their duties in an effective and efficient manner and ensure efficiency in patient care.

Take direction from the Administration Manager, Medical Secretary Team to meet the administrative demands.

Ensure all correspondence for the Clinical Team, including clinical letters, discharge summaries, medico-legal reports and results, minutes of committee meetings etc. are typed and dispatched promptly. The majority of the correspondence will be audio/digital dictation which is measured to a Trust turnaround target

Deal with telephone and face to face enquiries from patient, relatives, carers and all staff groups providing information, directing and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery within agreed limits and take appropriate actions

Deal with concerned patients/relatives with tact, patience and discretion, especially when conveying sensitive information.

On receipt of test/investigation results, retrieve relevant patient notes and alert the Clinical

Teams of any urgent or abnormal test results ensuring that relevant action is taken

Attend meetings, as required (except Clinical Performance meetings) to ensure effective communication with all service users

Demonstration and supervision of workplace activities to other members of the secretarial team as required maintaining a high standard of service to the Clinical Teams.

Ensure confidentiality is maintained is all communication and that documents and other sensitive information are secure at all time.

Use the relevant Trust databases and patient administration systems and ensure that all data is correct and up-to-date.

Provide general administrative services as required by the department.
Filing letters and reports in medical notes promptly and cross reference whenever necessary and general office filing.

Photocopying, faxing and posting documentation.

Receive and sort daily post, date stamp and distribute as appropriate.
Liaise with other hospital departments, GPs and other healthcare agencies when required.
