Our client is now looking for a Medical Administration Assistant to join their busy team in Bristol
The primary role of a Medical Admin Assistant is to provide professional support to the PAs of Designated Medical and their clients who are doctors working in private practice. The Medical Admin Assistant will perform administrative duties to support the Pas, the doctors and their patients.
There will be opportunities to develop into the role of Medical PA on completion of the Business Admin assistant apprenticeship.
The role is based at their office in Bristol working with the team of Medical PAs and reporting to the team leader based at the Bristol office.
Medical Administration Assistant Duties:
- To work within Designated Medicals parameters for time management, absence tracking and expenses, to ensure these are updated daily and that best practices are adopted for ‘hourly rate’ clients and recharged costs.
- To help answer above 90% of all incoming calls and action as appropriate; either by dealing with the patient/consultant/caller request directly or recording and transmitting messages to appropriate team members.
- Where a consultant transcribes their letters, these must be actioned within 24hrs of receipt.
- To help the PAs ensure that the consultant’s preferred Practice Management System (PMS) is fully updated and utilized to its full functionality. To work in conjunction with hospitals and clinics using a combination of their booking methods and the consultant’s preferred PMS and to ensure BOTH systems are up to date.
- To download results and upload them to the correct PMS
- Ensure that all passwords and information sheets are updated and stored using the appropriate Designated methods.
- Ad hoc tasks and responsibilities as directed by the PA Team Leaders
- Maintain patient and consultant confidence and protects operations by keeping information confidential.
- Serve and protects the health care community by adhering to professional standards, hospital policies and procedures.
- Ensure patient records are accurate and up to date including letters and results. All patient records are confidential, and care must be taken to adhere to data protection principles
- Exercise proactivity and good judgment. Make effective decisions based on sound reasoning and deal with challenges in a mature way. Seek advice from more experienced team members when appropriate.
- Work accurately, and methodically and pay attention to detail. Complete tasks to a high standard. Review processes and make suggestions for improvements.
- Effective Time management. Take responsibility for initiating and completing tasks, and managing priorities and time to successfully meet deadlines.
Medical Administration Assistant Requirements:
Demonstrate good communication skills, especially on the telephone handling patient calls. Demonstrate confidence in communications, carrying authority appropriately. Answer questions from patinets, representing the organisation and the clinician professionally.
Strong relationship builder, with the ability to work and build rapport with all types of people both internally and externally. Highly motivated to deliver a high level of customer service. The ability to be helpful and reassuring in dealing with patients
