**Summary**:
- Estates Information Management (EIM) oversees Information Management, Digital Asset Management and Information Security, and supports IHSE compliance and adherence with industry standards and Parliamentary best practice.**Job description**:
The main purpose of the IM Change Coordinator role is to ensure that Management of Change (MoC) activities around stakeholder engagement are run effectively by, and positively supports, IHSE.
The IM Change Coordinator will make sure that behaviours are adopted by the business to ensure the following information is readily accessible, considered trustworthy and logged for future record to maximise efficiency and avoid duplication of effort:
- all existing information about the IHSE;
- all existing Programme information; and
- all programme, project and design information generated from now on.
- Coordinate, support and facilitate the activities of EIM Working Groups, documenting decisions, managing agendas, managing the requirements backlog, preparing, and circulating minutes and scheduling meetings.
- Actively participate in the EIM Working Groups meeting and capture feedback. Note areas for improvement in the activities of the groups and report back to the IM Team Lead.
- Act as Single Point of Contact (SPOC) for gathering business capability and functional needs, and for defining and prioritising user stories in a requirements backlog.
- Providing impact and risk assessments on any business and technical requirements gathered.
- Dissemination of details to stakeholders about the evolution and progress of the Horizon project and helping to align its activities across all EIM working Groups and activities.
- Raise awareness of any decisions made by each Working Group to members of the other Groups and acting as the communications manager for the Horizon project.
- Administration and safe keeping of the outputs created by the Working Groups.
**Responsibilities**:
**Experience**
- Experience of Information Architecture standards and best practices.
- Degree in Computer Science, Engineering, Mathematics (or equivalent) Business
- Experience in a similar role managing successful delivery of IM Change Management
**Desirable**
- Experience of working on a complex project within a large organisation and challenging environment.
**Criterion 1 - Specialist Knowledge**
- Business analysis and process mapping experience and experience of collating user requirements in a 'backlog'
- Experience of Information Architecture standards and best practices.
- Experience of gathering requirements for Electronic Document Management Systems (EDMS) and Common Data Environments (CDE).
**Criterion 2 Planning and Organising**
- Develops structured plans within a complex project and monitor progress towards achieving strategic objectives. Challenges plans that are not in line with the project delivery strategy and adjusts strategies and plans to reflect the changing needs of members / stakeholders. Ability to work clearly and accurately under pressure and tight timescales.
- Experience of organising and coordinating multiple stakeholder groups to support effective transformational change in a corporate or government environment.
