**Post Title: EXAMINATIONS OFFICER**

**Grade**:Grade 7

**Responsible to**:Assistant Headteacher, Data & Assessment

**Purpose of the post**:

- To be responsible for the organisation of all Public Examinations, including A2, AS, GCSE and internal examinations.

**DUTIES AND RESPONSIBILITIES/KEY TASKS**:
**EXAMINATIONS**
- Coordinate all public and internal examination and assessment arrangements.
- All aspects of entry procedures relating to public examinations by maintaining effective contact with examination boards
- Update Whole School Calendar with information relating to exams.
- Support the Assistant Headteacher with the creation of a Whole School Assessment Calendar.
- Collate and submit any forecast grades.
- Register learners for BTEC and other vocational courses.
- Liaise with Managed Service Provider for the smooth running of online BTEC examinations.
- Oversee all coursework, controlled assessment, oral examinations and other assessment arrangements.
- Liaise with SENCO and ensure agreed access arrangements are implemented.
- Draw up exam timetable for learners and staff for both public and internal examinations.
- Draw up exam timetable for Senior Leadership Team to supervise the entry of examinations.
- Make arrangements for invigilation, adequate rooming, seating plan, desk numbering. delivery of examination papers, secure collection of scripts and onward submission for marking.
- Line manage the invigilators school uses and communicate effectively to the Exams, Data and Systems Manager if further recruitment is needed.
- Liaise with moderators and with staff to ensure the smooth running of moderator visits.
- Lead on all JCQ audit visits
- Collation of results and preparation of results for learners including organisation of certificates
- Support Data Officer in issuing data for departmental and teacher self-evaluation and target setting Coordinate any malpractice investigations
- Support examination cycles as required for both external and internal examinations
- Liaise with Assistant Headteacher and Faculty Leaders to ensure all end of year routines and procedures are completed in an efficient and timely manner
- Assist with preparation of and attend key examinations results days in August

**BUDGET**
- To support the Exams, Data and System Manager so the allocated budget is kept within spending limits using the principles of best value
- Ensure examinations invoices are checked thoroughly prior to authorisation.
- To allocate charges to departments as appropriate.

**COVER**
- When not in an internal or external examination series ensure that on a daily basis:

- Staff absences are received and collated, ensuring that computerised databases and trackers are updated.
- Cover is organised for any staff absences that have been notified that morning (notifications should be received by 7.15am from staff).
- Cover for any planned leave of absence requests and long term requirements has been completed.
- Effectively distribute cover work to the relevant staff members.
- Meet any external supply and induct them on the school processes and procedures that will allow them to cover lessons effectively.

**MISCELLANEOUS**
- To participate in the process of appraisal.
- To network with other Exam Officers outside of school and share best practice.
- Cover for absent colleagues and interchange duties as necessary at busy times.
- To undertake training to develop further all aspects of the school’s exam management systems, and to assist in the training of other staff.
- To communicate with the Data Team on exam entries to ensure that the school’s MIS software is up to date working through the school’s network.
- To ensure that activity undertaken in this role complies with the Data Protection Act and GDPR regulations.
- To maintain a detailed working knowledge of areas of the MIS which impact on the Exams Officer role.
- To attend meetings as required.
- To communicate with students in a professional, formal and consistent manner.
- Occasionally there may be a requirement to undertake work outside normal office hours to meet the variable nature of workloads and deadlines.
- To be aware of the responsibility for personal Health, Safety and Welfare and that of others who may be affected by your actions or inactions.
- To co-operate with the employer on all issues to do with Health, Safety and Welfare.
- These duties and responsibilities should be regarded as neither exhaustive nor exclusive as the postholder may be required to undertake other reasonably determined duties and responsibilities commensurate with the grading of the post.
