The Cancer Services Division are delighted to offer an exciting opportunity for a Band 5 Junior Doctor Rota Coordinator to join the team.

We are looking to recruit a motivated, organised individual to support with the coordination of recruitment, induction and rotations of all junior doctors across Haematology & Oncology.

As rota coordinator you will be the first point of call for all junior doctor related queries and will work closely with the Division’s Medical Staffing Manager, General Managers and Consultant Junior Doctor leads to provide effective support to both junior doctor trainees and trust grade clinical fellows. This would be an ideal opportunity for anyone looking to broaden their medical staffing knowledge and leadership skills in a busy and varied service whilst gaining exposure to one of the Trust’s largest divisions.

This is a full-time post based at UCLH to support the medical staffing provision in Cancer Services. In particular, the post-holder will focus on rota management, junior doctor induction, recruitment and filling any arising short and long-term rota gaps. The post will be supported the Cancer Services Division Medical Staffing Officer.

The post-holder will operate as a key administrative link for education and medical staffing matters across the Division; this will include both the Haematology and Oncology Departments.

Junior doctor rotas
1. To be the first point of contact for all junior doctor rota queries
2. To administer the junior doctor rotas, ensuring all departments within the Division are adequately staffed and locums are booked when required, in line with Trust Policies and Procedures
3. Ensure these rotas are completed proactively to ensure rotas are developed in a forward-planning manner to assist with operational and personal arrangements. Liaise with other colleagues and stakeholders to achieve this. Rotas should be issued to the incoming doctors 6 weeks in advance of the start of rotation
4. Book locums as required/directed for compliance of rotas and in line with Divisions’ guidance for short-term cover
5. To compile and maintain junior doctor staffing trackers for local recording of start dates, annual leave and LTFT entitlement
6. Ensure rotas are circulated to Division and relevant areas within the Trust to make sure cover arrangements are widely known throughout
7. Escalate to Medical Staffing Officer and General Managers if and when appropriate. Liaise with the Medical Staffing team to coordinate the twice yearly rotations and keep in regular contact to ensure any hours/job change

Support Compliance with HR policies
1. Maintain accurate and appropriate records of leave (includes annual leave, sick leave and other types of leave) for all junior medical staff in the Division
2. Analyse and inform General Managers, Clinical leads and Clinical Director when sickness absences trigger under policy and also when there are any other issues with doctor’s leave
3. Ensure that all doctors, including junior staff, are aware of reporting procedures and that compliance is monitored
4. Ensure sick certificates are provided, in accordance with Trust policies
5. Set-up and monitor junior doctor profiles in Medirota (rota management system) as well as ensuring activity posts and on-call rota lines are accurately recorded
6. Ensure international Drs are correctly registered and familiar with NHS & Trust-level policies as part of their induction to the Trust
7. Where relevant, support the management team with coordination of observerships and honorary contract

Induction/Training Co-ordination
1. Regular and close liaison with the Medical Staffing Officer to ensure induction schedules are proactively organised and run effectively on the day
2. Ensure induction material is up to date
3. Coordinate room bookings for face to face and/o
