**The role**
To support the efficient day-to-day running of a small but busy publishing & distribution company which specialises in the production and distribution of correspondence courses, books and other material. Including co-ordinating membership data and managing the dispatch of course materials.
Location: Bolney, Haywards Heath
**Salary**: £20,300 for 32 hours per week (£12.50/hour)
**Main role & responsibilities**
Ensure accuracy of work and pay particular attention to detail, complete work in a timely fashion & meeting agreed deadlines
- System maintenance
- Entering new enrolments & subscriptions on the database system
- Ensure that all aspects of onboarding new members are covered off in full
- Maintaining up to date information on the database system
- Assist with ordering process for print materials - stock levels are maintained at a sensible level without over or under ordering.
- Communication and Customer Service
- Answering the phone and dealing with concerns & enquiries
- Responding to answerphone messages
- Following up with customers regarding payments and queries
- Take all reasonable steps to ensure that member confidentiality & privacy is maintained at all times
- Dispatch management
- Packing, labelling and sorting weekly post in time for scheduled collection
- Preparing all materials ready for dispatch
- Assist with online store orders - fulfilling orders, answering queries and maintaining stock levels
**Person specification**
Minimum of 2 years office based/administration experience. Previous experience of working in a publications-related role and/or a membership organisation would be an advantage.
No specific training is required for this role. The following skills however are essential:
- Excellent interpersonal & communication skills, both oral and written
- Creative thinking, proven organisational and planning skills, including a good attention to detail and strong time-management skills
- Excellent multi-tasking skills, with ability to prioritise and manage competing demands
- Strong IT skills, particularly Microsoft Word and Excel (training will be provided on relevant internal IT systems, for example the database & uploading courses onto the website and the online store).
- Accurate typing and data entry skills.
- Ability to deal confidently with internal and external contacts at all levels of seniority
- Excellent work ethic and enthusiasm for the role.
- Team player but able to work autonomously and without close supervision.
- Proactive and able to use initiative
- Willingness to learn on job and to develop within the role
- The role holder may undertake additional tasks not specifically listed in the job description, as reasonably requested

Established over 30 years ago, we are a small East Sussex based publishing and distribution company which has a loyal and growing membership base. We specialise in the publication and distribution of learning materials specifically pertaining to Celtic and pagan beliefs. These materials are sent to our members around the world. We also operate a busy online store which sells books, jewellery and CD’s.
