Clinical Governance Administrator

We are seeking a dedicated, motivated, proactive person to join our team to help us provide high quality care to our services.
The post holder will provide administrative support to the Clinic Governance agenda of the Division. The role involves working closely with the Divisional Governance Managers, Senior Management and Clinicians within the Division. The post holder will also be required to attend meetings where agenda and minute taking will be required. Communication is a must between external and internal members of staff as well as the public.
This role requires an experienced administrator to take overall responsibility for the provision of a comprehensive, efficient and confidential administrative co-ordination and support to the clinical governance team.
The post holder will use their own initiative to problem solve and prioritise the urgency of work and to act on behalf of the team when appropriate and as required.
This is a cross site role.
Lewisham and Greenwich NHS Trust is a community focused provider of local and acute care, providing high quality services to over one million people living across the London boroughs of Lewisham, Greenwich and Bexley. With a turnover of around £700 million, we provide services at Queen Elizabeth Hospital in Woolwich, University Hospital Lewisham and a range of community settings in Lewisham. We also provide some services at Queen Mary’s Hospital in Sidcup.
As an organisation, we’ve made significant improvements for patients and staff in the last two and-a-half years. This is reflected in our most recent Care Quality Commission (CQC) inspection (from February 2020), which found improvements across the organisation and gave us an improved rating of “Good” in the Well-Led and Effective domains, in addition to the rating of “Good” that we had already achieved in the Caring domain. Our staff culture change programme has been key to the Trust’s improvement journey, as we’ve stabilised our workforce by reducing vacancy rates and improving staff retention. We’ve also significantly increased the representation of minority ethnic leaders across our clinical and corporate teams
- Arrange/organise/co-ordinate meetings, book venues, prepare agendas and take minutes. For divisional governance meetings prepare all paperwork and make readily available any equipment that may be required for such meetings. Be responsible in initiating follow-up action where required and bringing forward items for discussion as necessary. Making note of attendees and apologises. Responsible for circulating agenda’s, minutes/papers of meetings and pursuing updates on actions.
- Support clinical governance leads in specialties with local governance meetings and minute taking on a rotational basis. Maintain an up to date action log for each specialty seeking updates on actions in order to support CG leads.
- Support clinical governance leads with governance agenda as required including collecting medical notes and delivering to appropriate destination, scanning and sending notes, assisting investigations and typing onto appropriate template as required.
- Work with the clinical governance team in the planning/updating of policies and procedures.
- Assist the clinical governance team in ensuring guideline changes are updated and uploaded onto the Trust’s intranet on-line ‘Bookshelf’.
- Working with the clinical governance team to monitor and evaluate the service provided and suggest improvements.
- Assist the clinical governance team in specific project work as required.
- Responsible for managing the clinical governance team’s manpower log, noting in the diary any sickness/absence. Completing the monthly manpower log and submitting by agreed deadline.
