The Opportunity
Reporting to the EMEA Facilities Operations Manager, this office-based role carries out activities to support overall operational success, by delivering outstanding reception and building services to employees, clients and visitors thus creating a positive and lasting impression of the FICO brand. As no two days are the same the role requires an eye for detail and the ability to shift priorities and manage own workload
What You Will Do
Reception- Greet all visitors, accept deliveries.- Complete the new starter/leaver process, issuing and terminating access cards.- Assist with meeting room queries and bookings, ordering of lunches if required.- Ensure offices and meeting rooms are clean and tidy.- Deliver inductions to new officed based employees.- Running basic building occupancy reports
Office- Work with the EMEA Facilities Operations Manager to resolve building-related issues.- Deliver and maintain a high standard environment.- Work with contractors who provide services to the office, such as cleaning, maintenance, to ensure a good standard of work and all paperwork is complete and filed. Complete competency checks for outsourced contractors.- Order offices supplies and cost tracking.- Provide admin support as required for offices across Europe, Middle East & Africa.- Travel to our London office when required. Carry out additional work/projects within ability as direct by the EMEA Facilities Operations Manager.
Health, Safety, Environment and Security- Assist the EMEA Operations manager with health and safety related tasks such as organizing PAT testing, arranging risk assessments etc.- Undertake risk assessments for display screen equipment, pregnant workers, return from leave, young and lone persons.- Manage and undertake fire warden and first aider training to ensure correct cover for EMEA Offices and assist in evacuations.- Assist with managing relationships with external H&S contractors and ensure all paperwork is uploaded and filed.- Ensure a clean and tidy working environment.- Maintain health and safety records for offices.- Check and file utility bills for offices.
