2ww New Appointment Centre Coordinator

The post holder will be responsible for coordinating the suspected cancer referral New Appointment bookings received by the Trust. Overseeing the prioritisation of job roles within the team. Monitoring the 2 week wait rule. Escalating capacity issues to Specialty Management teams. Management of clinic cancellations and rebooking of suspected cancer New appointments. Support new staff and training, ensuring good working practices are met. To ensure Trust values are met. Complaints/PALS/Incident management.
This is an opportunity to work with a relatively small team of 5 staff that focus only on the booking of suspected cancer appointments across the majority of tumour sites and make a difference to the patient experience at a relatively worrying time. Empathy and compassion being an essential quality required.
The post will be Monday to Friday 9am to 5pm.
1. To develop an excellent understanding of the Electronic Referral System (e-RS)
2. To be able to register patients using the Electronic Patient Record System (EPR)
3. Add referrals to the EPR system and book appointments
4. Register patients onto the Somerset Cancer Register
5. Have a good understanding of clinic codes and specialty Tumour sites
6. Understand the Cancer Targets
7. Prioritise workload
8. Confident in escalating issues effectively with stakeholders
9. Confident to be able to liaise with external providers and internal management
10. To be aware of and follow the Trust Policy on keeping personal data secure
11. To comply with the Trust’s Cancer Policy, and actively encourage compliance from others.
12. To be confident in sharing skills and knowledge with team members
13. Responsible for cancelling clinics and rebooking patient’s appointments ensuring patients are made aware by telephone.
14. Restructuring of clinic templates to enable 2ww slots to be made available
Working in an open office environment, the department is made up of 10 Booking staff, 5 Call Center staff and 5 2ww cancer referral booking staff, with a Service Delivery Manager to oversee the teams.
