**Job Purpose**

To be responsible for the day-to-day management of the school office, reception and reprographics ensuring the provision of effective and efficient administrative support. Reporting directly to the school business manager and indirectly to the head teacher to ensure appropriate response times are achieved and work is quality assured.

The principal function of the role is to ensure the smooth and efficient running of the School Office and manage the day-to-day administrative functions. The post holder will contribute to all aspects of the team’s functions providing the highest levels of support and challenge to all team roles and the highest level of customer service to the wider school.

To provide administrative support to the Senior Leadership team, including organisational support for projects involving liaison with staff, students, parents and external providers.

The Senior Office Administrator is responsible for line supervising and coordinating the daily workload for a team of reception and office staff. This will support the key administrative functions including admissions,
HR, finance and marketing.

The Senior Office Administrator is expected to take a keen interest in School life and to understand their role in this context. They are the key point of contact for the School and are also required to foster good relationships, both internally and externally.

The Senior Office Administrator is responsible directly to the Business and Finance Manager and indirectly to the Head Teacher. They will liaise with members of staff, students, parents and visitors.

The job demands flexibility/adaptation to changing/conflicting priorities and deadlines, some of which are outside of their control. The School Office is the hub of the School and its wide range of customer demands need to be met to a very high professional standard. The Senior Office Administrator will work in a very busy office with reasonable noise levels. As this is a front line position, they will be dealing directly with parents and other members of the community and as such may occasionally have to deal with dissatisfied customers.

The Senior Office Administrator will be expected to facilitate team meetings and support staff with their development and training needs. The Senior Office Administrator will oversee the induction of new staff in the office team and alongside the Business Manager complete appraisal for members of the office team.

**Person Specification**
- An experienced administrator with a minimum of three years’ experience, ideally with previous school experience in an administrative or support capacity but other backgrounds and experiences would also be considered.
- Proven organisational skills with an eye for detail.
- Ability to delegate and monitor effectively.
- Ability to prioritise, work methodically and remain calm under pressure.
- Think creatively and imaginatively to solve problems and identify opportunities.
- Flexible, adaptable and open to new ideas.
- Approachable and sensitive, adapt easily to a diverse and changing environment.
- Self-sufficient and comfortable working alone/unsupervised. Work under their own initiative.
- Excellent communication and interpersonal skills.
- Strong IT skills using Microsoft Office package.
- Willing to consult and seek advice when appropriate and learn from experience.
- Excellent and professional personal presentation.
- A good sense of humour
